Position Overview: The Client Support Assistant is a key administrative role, supporting the Director and counselors at the Impact Counseling Center. This position requires exceptional attention to detail, strong critical thinking skills, upholding the highest standard of confidentiality, and excellent phone etiquette to ensure smooth operations and outstanding client experience. The Client Support Assistant will handle multiple counselor schedules, coordination of appointments, and collaborate with the counseling team to facilitate efficient flow of services.
Key Responsibilities:
Schedule Management:
- Manage and maintain multiple counselors’ schedules, ensuring appointments are booked accurately and efficiently.
- Coordinate and confirm client appointments, rescheduling as necessary to meet client and counselor needs through various client support systems
Client & Counselor Communication:
- Serve as the primary point of contact for clients and counselors, handling inquiries and scheduling with the utmost level of professionalism and confidentiality.
- Answer phones, respond to emails, and provide courteous assistance to clients regarding services, scheduling, and other needs.
- Serve as the point of contact of intake information to clients and ensure all required documentation is completed prior to appointments.
- Receives all in-person client appointments with courtesy and professionalism
Administrative Support:
- Maintain accurate and up-to-date records of client appointments and counselor availability.
- Manage and maintain intake information in compliance with confidentiality policies and legal standards.
- Prepare and distribute assessments, reports, or other materials needed for the counselors and leadership team.
- Receive and take payments for Telehealth counselees
Collaboration and Teamwork:
- Partner with the counseling center team to ensure seamless communication and coordination of services.
- Assist with coordinating team meetings, events, or workshops as needed.
- Provide feedback and suggestions to improve processes and client service experiences.
- Willingness to work in and understand the importance of confidentiality in a counseling environment
Problem-Solving and Critical Thinking:
- Anticipate potential scheduling conflicts or administrative issues and proactively resolve them.
- Utilize strong critical thinking skills to address client scheduling concerns and ensure a high level of service.
Client Care and Support:
- Offer a warm and welcoming experience for all clients, team members and other business groups, maintaining a professional and compassionate demeanor.
- Support clients in understanding the counseling process and addressing any logistical concerns.
Required Qualifications:
- Associate’s or Bachelor’s degree or equivalent relevant experience of at least 8 years.
- Previous administrative or client-facing experience, preferably in a counseling or healthcare setting.
- Exceptional attention to detail and organizational skills.
- Strong critical thinking and problem-solving abilities.
- Excellent verbal and written communication skills, including professional phone etiquette.
- Proficiency with scheduling software and Microsoft Office Suite.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills with the ability to work collaboratively within a team environment.
- Experience in managing multiple schedules and coordinating complex calendars.
- Familiarity with counseling or healthcare-related documentation and procedures.

Work Schedule: Monday-Tuesday 9am-5pm; Wednesday 9am-1pm and Thursday 12pm-5pm
Job Type: Part-time
Pay: $27,000.00 - $30,000.00 per year
