Essential Duties and Responsibilities:
- Serve as the primary client contact for the day-to-day development and execution of marketing communication programs.
- Develop, execute, and manage budgeting, routing, and program management tools to forecast and oversee accounts.
- Manage client trade show budgets and provide updated reports, including third-party supplier forecasting and associated costs.
- Oversee installation and dismantle (I&D) services, ensuring seamless execution on the show floor.
- Coordinate internal production teams to ensure client objectives and budget parameters are met.
- Manage venue and association approvals, ensuring compliance with industry regulations.
- Act as a liaison between clients, marketing agencies, and internal teams, fostering collaboration and mutual respect.
- Prepare master project plans and schedules, ensuring all stakeholders adhere to deadlines.
- Document and track client projects within the company’s production system (work orders, production packages, etc.).
- Stay informed on the Account Director’s client base and projects to provide prompt responses to inquiries.
- Draft and deliver client correspondence, proposals, and presentations.
- Manage workload effectively, prioritize deadlines, and work under time constraints.
- Proficient in Microsoft Word, Excel, and PowerPoint for client documentation and reporting.
- Identify and develop new business opportunities with existing and potential clients.
- Build and maintain relationships across all levels of client organizations.
- Approach challenges with problem-solving skills and provide solutions proactively.
- Offer recommendations to enhance projects and programs, collaborating with clients and the Account Director.
- Communicate the company’s full range of experiential environment solutions, including strategy, design, production, deployment, and management for events and exhibitions.
- Contribute ideas in internal brainstorming sessions and participate in sales pitches and proposal generation.
- Represent client needs while guiding internal teams through project execution from concept to completion.
- Oversee property and graphic inventories.
- Address job process issues and ensure show site expectations are met.
- Maintain quality standards, pricing, and billing accuracy.
- Keep detailed records, including Work Orders, Creative Briefs, and Call Reports, ensuring effective communication with all departments.
- Travel approximately 20% for client meetings, business development, and on-site project management.
- Maintain and update forecasting and budgeting information within the Work Order system.
- Manage project-related travel with fiscal responsibility, adhering to company guidelines.
- Ensure client account margins and project financial goals are met.
- Verify that all costs and items are accounted for in client quotes, proposals, and invoices.
- Review invoice drafts for accuracy before billing and follow up on outstanding payments.
- Mentor junior team members, fostering professional growth and development.
- Train team members to enhance client service, sales, and business acumen.

Salary : $75,000 - $85,000
