Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Assistant. As the first point of contact for our company, you will play a crucial role in providing excellent customer service and ensuring smooth office operations. This position requires strong organizational skills, the ability to handle multiple tasks simultaneously, and exceptional communication skills.
Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer phone calls, take messages, and direct calls to the appropriate person
- Perform data entry and maintain accurate records
- Assist with office management tasks, including ordering supplies and coordinating maintenance requests
- Provide personal assistant support to executives as needed
- Proofread documents for accuracy and completeness
- Assist with scheduling appointments and managing calendars
- Handle incoming and outgoing mail and packages
- Transcribe meeting minutes and other important documents
- Provide exceptional customer support by addressing inquiries and resolving issues in a timely manner
- Perform general clerical duties, such as filing, photocopying, and scanning documents
Experience:
- Previous experience as a receptionist or administrative assistant is preferred but not required
- Proficiency in Microsoft Office Suite
- Strong typing skills with a high level of accuracy
- Excellent organizational skills and attention to detail
- Ability to prioritize tasks and meet deadlines
- Strong written and verbal communication skills
- Ability to maintain confidentiality of sensitive information
