Sales Support Specialist = Account Manager


Responsibilities


Quote Creation:

- Develop accurate and timely quotes for prospective and existing customers, ensuring alignment with pricing strategies and profitability targets when the SE is out of the office or assistance is requested.

- Collaborate with Sales Executives and Solution Architects to meet margin targets and profitability goals.

- Customize quotes based on customer needs and specific requirements, while adhering to company policies.

- Prepare and issue renewal quotations and proposals to SE.

- Assist in submitting deal registrations when the SE is out of the office or assistance is requested.


Order Processing:

- Fully process orders upon receipt of a signed quote or hard copy purchase order and track to ensure a successfully and timely invoiced transaction.

- Cut purchase orders efficiently and track them from receipt to ensure timely fulfillment of customer orders.

- Collaborate with suppliers to negotiate discounts and favorable terms, optimizing costs for the organization and enhancing profit margins.

- Foster and strengthen relationships with vendors, distributors, and manufacturers.


Customer Communication:

- Serve as a primary point of contact for customers regarding order status, updates, and administrative or operational inquiries.

- Communicate effectively with customers to build relationships, understand their needs, and provide exceptional service.


Sales Support:

- Work closely with Salespersons to understand their objectives and provide administrative support that enhances their productivity.

- Assist in finalizing sales presentations, reports, and other materials as required.


Data Management:

- Maintain accurate records of customer interactions by linking emails to CRM when discussing opportunities, quotes in CPQ, and orders in BC.

- Manage and track customer contracts and renewal terms.

- Administer all aspects of the manufacturer RMA (Return Merchandise Authorizations) process, including updating RMA records, creating return and replacement orders, shipping products to distributors and dealers, and transferring products as needed.


Collaboration:

- Engage with cross-functional teams, including finance, logistics, and marketing, to facilitate smooth order processing and customer satisfaction.

- Participate in regular weekly Sales team meetings to provide updates, share insights, and contribute to strategic discussions.

- Perform other duties as directed by the supervisor.


Qualifications:

- Education: Bachelor’s degree in Business Administration, Sales, or a related field preferred. (Three years of general work experience may substitute for a four-year course of study leading to a bachelor’s degree.)

- Experience: 2 years of experience in a sales support or administrative role, preferably in the enterprise technology or value-added reseller industry.


Skills:

- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software (e.g., Salesforce).

- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

- High level of emotional intelligence and interpersonal skills, capable of building rapport with customers and colleagues.

- Strong negotiation skills and a customer-oriented mindset.
