Special Events Coordinator

JOB SUMMARY:

The Special Events Coordinator plans and implements programs and activities for youth, adults, and families, and the community. Programs and activities will promote a “family atmosphere,” promote health, fitness, and wellness, and create and strengthen community partnerships. These activities will also develop new revenue resources for the programs department, while also contributing to the income of the overall facility. 

DUTIES AND RESPONSIBILITIES – WHAT YOU WILL DO:

• Coordinate with facility swim instructors to ensure that all private swim lessons are paired with an available instructor 
• Assist front desk to answer swim related questions and return phone calls for swim inquires
• Oversee Youth & Adult Basketball Leagues (if applicable), Youth & Adult Volleyball Leagues (if applicable), Parents’ Night Out, Facility Rentals, Break Camps, Rock Wall Maintenance and Certification Classes, Community Events
• Manage Special Annual Events including; Breakfast with Santa, Mother’s and Father’s Day Events, Dive In Movies (Summer), Moonlight Mountain, Back To School Supply Drive
• Oversee Special Recognition of Members and Days; Achievements & Military Service
• Provide exceptional customer service to members, non-members, and community partners.
• Complete and submit paperwork in a timely manner (pay sheets, reports, memos) to appropriate staff.
• Communicate with appropriate departments about events and supply, personnel, and facility/equipment needs. 
• Develop and promote new events, programs, and leagues in collaboration with Area Childcare & Program Director.
• Monitor current and ongoing programs and events for improvements.
• Recommend and implement improvements working closely with Area Childcare & Program Director where applicable.
• Ensure bonus pay for programs is submitted to the CAD each pay period.
• Staff events and programs with quality personnel. 
• Attend and participate in required meetings and trainings as needed

Requirements

REQUIREMENTS AND QUALIFICATIONS – WHO YOU ARE:

• High school degree or equivalent
• 1-2 years’ experience in the health, fitness, recreation, child development, and/or club environment, and/or 2 years supervisory experience
• Possess above average/intermediate computer skills (i.e., familiarity with Word, Excel, Publisher, internet, and email applications)
• Possess above average writing, spelling, and math skills
• Strong service orientation and desire to deliver an outstanding member experience
• Strong oral and written communication skills, with the ability to work professionally and effectively with people at all levels of the organization with physical locations spread throughout the portfolio
• Must demonstrate professionalism, cooperation, and ability to work well with all parties
• Ability to travel occasionally for company meetings and based on business needs
• Passion for fitness/health/wellness industry

WORK ENVIRONMENT/PHYSICAL DEMANDS:

While performing the duties of this job, the team member is frequently required to walk and stand up to 8 hours/day and/or sit for an extended period of time. Team members may be exposed to cleaning chemicals or airborne particles and will be required to wear designated PPE (Personal Protective Equipment) as directed. Team members are occasionally required to use hands and fingers for handle or feel; occasional reach, push and pulling with arms and hands; occasional climb, balance, stoop, kneel, crouch or crawl; and occasional reach and twist, including side-to-side movements. The team member may be required to occasionally lift, carry or move up to 25 pounds and may seldom be required to lift, carry or move 26-50 pounds.
