Summary
We are seeking an Office Administrator to join our dynamic team at Income Property Investments to oversee key administrative functions related to business insurance, legal claims, and vendor contracts. This role ensures smooth business operations by managing risk, compliance, and vendor relationships while providing administrative support across departments.
Key Responsibilities:
1. Business Insurance Management
- Coordinate and maintain company insurance policies, including general liability, property, workers' compensation, and professional indemnity.
- Review and renew insurance coverage to ensure optimal protection and cost efficiency.
- Work with insurance brokers and providers to resolve policy-related inquiries and claims.
- Maintain accurate records of insurance policies, certificates, and renewal dates.
2. Legal Claims Handling
- Manage legal claims, including liability, workers' compensation, and property damage.
- Liaise with legal counsel, insurers, and internal teams to gather necessary documentation.
- Monitor claim progress, ensuring timely resolutions and compliance with legal requirements.
- Maintain detailed records of claims, settlements, and related correspondence.
3. Vendor Contract Management
- Draft, review, and manage vendor agreements to ensure compliance with company policies.
- Negotiate contract terms, pricing, and service level agreements (SLAs).
- Track contract expirations, renewals, and compliance requirements.
- Maintain relationships with vendors, addressing any disputes or performance issues.
4. General Office Administration
- Maintain organized filing systems for contracts, insurance policies, and legal documents.
- Assist with risk management strategies and internal policy updates.
- Coordinate with finance and legal teams to ensure proper documentation and compliance.
- Support day-to-day office operations, including scheduling meetings, handling correspondence, and managing office supplies.
Qualifications & Skills:
Education: Bachelor’s degree in Business Administration, Legal Studies, or a related field (preferred).
Experience: Minimum 3-5 years in office administration, business insurance, legal claims, or contract management.
Skills:
- Strong understanding of insurance policies, legal claims, and contract management.
- Excellent negotiation and communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Proficient in Microsoft Office (Excel, Word, Outlook) and contract management software.
- Ability to handle confidential information with discretion.
