Archivist Assistant
12 Months Contract
Shift Times: 8am - 5pm - Onsite Mon-Fri
DUTIES AND RESPONSIBILITIES
- Data entry into a computer-based index inventory system for active study records (e.g., protocols, raw data, etc.).
- Maintain active record storage, check outs, and security.
- Ensure transition movements and handling of records from Regulatory Sciences to the Archives.
- Scanning of records and uploading to an electronic database.
- Processing documents in an expedient manner to ensure fast flow of documents to required parties.
- Maintain and process documentation in ways that are GLP compliant.
- Serve as a backup archivist in the event the archivist is out. See Appendix.
KNOWLEDGE, SKILLS, COMPETENCIES AND EXPERIENCE
- Education: College/University degree or 4 years experience in related subject area
- Knowledge and Experience: Knowledge of the Good Laboratory Practice Standards (GLP)
- Previous experience in a regulated environment and with quality management systems, and document management (physical and electronic) preferred.
- Ability to understand, follow, and implement SOPs, regulations, and other written guidance preferred.

Appendix: Back-up Archivist Responsibilities
The Active Records and Archivist Roles will work closely together to manage absences to maintain GLP compliance and ensure business needs are met.
- Maintain a computer-based index inventory system for accurate tracking/retrieval of GLP and non-GLP archived records (e.g., testing data, facility data, and any other relevant documents).
- Ensure movement and handling of records in and out of the archives is properly controlled and documented.
- Manage customer requests for archived data.
- Ensure archiving processes meet regulatory requirements including limited access, expedient retrieval.
- Retrieve and/or scan documents requested by government agencies.
- Empty drop boxes/receive physical data into the archives.
- Manage Archive Inbox in absence of Archivist, prompt replies to emails and archiving requests.
- Coordinate receipt and verification of incoming study packages from Contract Research Organizations (CRO’s), this may include routing of invoices.
- Monitor archive environmental conditions and security access to the archive and resolve issues as needed
