Job Overview:
We are seeking a highly motivated and detail-oriented Client Service Associate (Virtual Admin) to join our team. This position is integral to delivering exceptional client experiences by providing administrative support to our Financial Advisors. The ideal candidate will possess strong organizational and time management skills, advanced computer proficiency, and a background in financial services.
Key Responsibilities:
- Provide administrative support to Financial Advisors, including operational platform assistance for custodians and TPAMs.
- Manage account openings, transfers, and money movements.
- Process annuity order entries and alternative investment transactions.
- Resolve notification/NIGO issues on submissions and follow up as needed.
- Handle marketing submissions, document preparation, processing, and management.
- Maintain and update client information in the CRM database.
- Schedule and confirm client appointments, ensuring proper communication.
- Answer phone calls and manage messaging services in accordance with firm guidelines.
- Prepare for client meetings by assembling necessary paperwork and generating reports.
- Support post-meeting follow-up to ensure completion of any outstanding actions.
- Process and submit all account paperwork/requests, utilizing paperless procedures (including eSignature) when possible.
Qualifications & Skills:
- 2 years of experience in the financial services industry with a solid understanding of broker/dealer operations and financial products.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional time management and organizational skills, with the ability to handle multiple tasks and work independently.
- Strong verbal and written communication skills.
- Ability to build and maintain relationships with clients and internal teams, with the capability to influence others without direct control.
- Previous experience in the independent financial services industry is preferred.
Education & Certifications:
- Bachelor’s degree in a business-related field preferred.
- Series 7 and 65/66 licenses preferred, or the ability to obtain them.
