Position Summary
The Executive Assistant is responsible for performing routine clerical and administrative functions for the Senior Vice President, Provider Networks. Must have excellent interpersonal skills and prior work experience utilizing strong administrative skills. Must be highly organized, project-oriented, and maintain excellent oral and written communication skills; and be able to work independently.
Essential Functions
- Maintains calendars and schedules meetings via conference call, video, web-based conference calls, or in-person.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
- Completes general clerical duties, including photocopying, scanning, fax, and mailing.
- Creates and maintains filing systems as directed.
- Manages contact information for all clients and key stakeholders as directed.
- Maintains the Provider Relations Doral office phone line and transfers calls as appropriate.
- Draft, review and send communications on behalf of SVP and team members.
- Distributes and processes incoming and outgoing mail and packages.
- Schedules travel and completes appropriate reimbursement forms post-travel.
- Generates and maintains confidential reports, correspondence, presentations, design plans and other materials to support the Senior Vice-President and team.
- Develops, completes, and coordinates tracking, reviewing, and approval of invoices by working with the accounting department.
- Complete a variety of special projects including creating PowerPoint presentations, spreadsheets, special reports, and agenda materials.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Perform other duties as assigned.
Education and Experience
•Associate degree in business administration, or related field or equivalent experience.
•3 to 5 years of experience in a large health care focused organization
•Medicare and/or Medicaid managed care experience preferred.
Required Skills
•Excellent computer skills including experience with Windows, Word, Excel, and MS Outlook.
•Exceptional organizational skills, attention to detail, ability to prioritize work and multitask.
•The ability to work in a team environment where daily tasks fluctuate based on the business needs of the company.
