Job Summary

This role supports the Radiation Therapy Program by assisting the Director, Clinical Coordinator, and students.

Department-Specific Responsibilities

  • Provides guidance to current and prospective students on academic and admission-related matters, including program requirements and GPA calculations, and addresses student concerns.
  • Evaluates and processes student applications, coordinates interviews, and assists in the admissions and acceptance process.
  • Manages student onboarding for the program, ensuring all documentation and requirements are completed, and organizes orientation events.
  • Assists the Program Director and Clinical Coordinator in maintaining accreditation, ensuring compliance, and contributing to curriculum development and evaluation.
  • Assists in preparing confidential materials related to student probation, withdrawal, or dismissal.
  • Helps manage student enrollment, admissions, graduation, and class schedules, as well as oversees compliance with Campus Health requirements.
  • Maintains program websites and databases, including Health Professions Programs (HPP) and Canvas.
  • Serves as a program representative at recruitment events and coordinates various program-related activities.
  • Aggregates and distributes student evaluations, schedules program meetings, and manages related logistics.

General Responsibilities

  • Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
  • Schedules rotations and clinic hours for members, and may arrange extracurricular activities.
  • Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
  • Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
  • Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
  • Implements program improvement projects from initiation to execution.
  • Offers recommendations to improve program administration and / or the overall quality of care.
  • Qualifications

    Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

    EDUCATION

  • High school diploma or equivalent (such as HSED or GED)
  • WORK EXPERIENCE

    Required

  • 2 years of experience in administration, office management, or program coordination
  • Preferred

  • Experience in a clinical or academic setting

    This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
