Job Summary

The Financial Administration Specialist is responsible for managing financial transactions, ensuring compliance with university and grant policies, and providing financial oversight for faculty research account, departmental accounts and grant accounts. This role serves as the primary financial contact for assigned department(s), supporting faculty with grant administration and account management.

Department-Specific Responsibilities

  • Review and approve financial transactions on assigned accounts, including but not limited to BUY.IU, ChromeRiver, and HRMS eDocs, ensuring compliance with IU policies and grant requirements.
  • Process financial adjustments, including Salary Expense Transfers, General Account Adjustments, and Distribution of Income and Expense, along with other necessary KFS transactions.
  • Oversee post-award financial administration for grants, including ensuring expenditures align with award agreements, monitoring fund availability throughout the award period preparing financial expense reports for sponsors as requested, reviewing expenses for accuracy and compliance during award closeout, supporting additional grant-related financial processes as needed.
  • Serve as the primary financial contact for all faculty accounts within the assigned department, including grants and faculty research funds.
  • Contribute to financial operations and department initiatives by assisting with related tasks as needed.

General Responsibilities

  • Use knowledge and application of accepted procedures and standards, perform detailed financial and administrative tasks related to managing the daily and long-term financial and / or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.
  • Make recommendations on policies and guidelines for division / department activities.
  • Control all expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
  • Manage general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
  • Develop, plan, and make recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.
  • Prepare operating and project budget drafts. Regularly explain financial concepts to non-financial employees.
  • Monitor division / departmental budgets and resolve or recommend resolutions for any significant deviations from approved budgets.
  • May conduct a variety of human resource activities including employment, labor relations, benefits, training, and classification for unit / department.
  • May provide guidance to lower-level employees.

    Bachelor's degree in finance, business, or a related field

  • Demonstrated ability to interpret and apply concepts and policies to daily work functions
  • Ability to clearly present material and make it accessible to a variety of audiences
  • Ability to interpret financial documents from an accounting, policy, and practice perspective

    This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

    65,000-$70,000 based on internal equity
