The Associate Director of Operations for the Kelley Graduate Business Programs in Medicine is responsible for overseeing and optimizing the program's operational infrastructure to ensure a seamless and high-quality student, faculty, and staff experience. Reporting to the Director, this role provides leadership in program execution, staff supervision, budget management, and academic operations.
The Associate Director will manage the day-to-day operations of the Physician MBA program, ensuring efficient coordination of academic quarters, residency sessions, faculty support, and student services. This role serves as a critical link between faculty, students, and administrative teams, overseeing key processes such as course scheduling, Canvas course site management, assessments, and program evaluation. Additionally, the Associate Director will play a vital role in program expansion, including the Masters in the Business of Biotechnology, working to streamline operations and enhance student success initiatives.
This position requires a proactive, highly organized, and solutions-oriented leader with experience in higher education program management, academic operations, and student support. The ideal candidate will have a strong background in operational efficiency, data-driven decision-making, and strategic problem-solving, ensuring the program remains innovative and responsive to the evolving needs of physician and healthcare leaders.

Department-Specific Responsibilities
- Supervise program staff: providing direction, support, and professional development opportunities.
- Oversee program budgeting, tracking, and ensuring cost containment.
- Assist the Director with resource allocation and reporting for operational initiatives.
- Manage quarterly transitions, including academic calendars, registration, and residency scheduling.
- Oversee the execution of residency activities, ensuring smooth operations and participant satisfaction.
- Coordinate student support initiatives, including retention strategies, graduation rates, and student satisfaction.
- Lead program assessment efforts, including surveys, evaluations, and data analysis for continuous improvement.
- Oversee Canvas course site management, ensuring consistency and quality in course content and student resources.
- Faculty and Course Support
- Serve as a primary liaison for faculty, coordinating communications, schedules, and academic support.
- Support specialized courses, including the Healthcare Policy Course, Executive Coaching Course, and Leadership Immersion Course, ensuring operational excellence.
- Align program operations to maintain consistency across programs.
- Collaborate with leadership to identify and implement operational improvements that support program growth.
- Provides day-to-day operational management of student programming staff.
- Establishes short-term operational objectives.
- Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.
- Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.
- Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.
- Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.
- Ensures and provides training to assigned staff to improve student programming operations; researches and identifies development opportunities for assigned staff.
- Researches and stays up-to-date on new industry student programming standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.
EDUCATION
Required
- Bachelor's degree in student programs, social work, or a related field
- Master's degree in higher education student affairs or a related field
