Department-Specific Responsibilities
- Coordinates with events and catering departments to execute event plans
- Maintains databases to track space requests, space usage and location of equipment
- Coordinates the activities of workers involved in providing setup support and hires, trains, and supervises temporary set-up staff.
- Trains employees in work and safety procedures.
- Reads and interprets set-up sheets. Works with event management concerning logistical requirements.
- Oversees and participates in the set-up of meeting rooms, banquet rooms, classrooms, outdoor venues and other facilities.
- Interacts with clients to determine customer needs and resolve problems or concerns.
- Participates in the clean-up of all venues after events and meetings.
- May perform custodial duties on a regularly assigned area or on an as needed basis.
- May maintain database to track usage and location of equipment. Inspects equipment for defects or damage and notifies maintenance personnel or outside service contractors for repairs.
- Consults with supervisor and other personnel to resolve problems, such as facility needs and maintenance, equipment performance, output quality, and work schedules.
- Reports facility issues and orders supplies as needed.
- Drives vehicle as needed.
Required
- High school diploma or equivalent (such as HSED or GED)
- Associate's degree or Some College
WORK EXPERIENCE
- 4 years of setup/facility support or related experience
- 4 years of project/event coordination experience
Required
- Possesses a valid driver's license and ability to be insured by Indiana University Upon Date of Hire
Required
- Ability to work in a safe and efficient manner
- Ability to interpret and follow oral and written instructions
- Knowledge of materials, methods, and the tools used to perform job duties
- Ability to operate the machinery and equipment used in area of expertise, and other basic hand tools
- Ability to interpret blue prints or other sketches and drawings
- Ability to operate a computer
- Computer skills to include familiarity with Microsoft Office Suite, emailing and other administrative computer tools
- Usage of moving equipment such as dollies, carts, etc.
- Effective communication with internal/external stakeholders
- Comfortable with physical work, objects my weigh more than 25lbs, ability to lift properly and supervisor moving of heavy equipment
