Job Summary: The receptionist will be responsible for managing the front desk, greeting visitors, handling incoming calls, and performing various administrative tasks. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
· Greet and welcome visitors in a warm and professional manner.
· Answer, screen, and forward incoming phone calls.
· Maintain the reception area, ensuring it is tidy and presentable.
· Receive and sort daily mail and deliveries.
· Schedule and coordinate appointments and meetings.
· Assist with administrative tasks such as data entry, filing, typing, and managing office supplies.
· Provide basic and accurate information in-person and via phone/email.
· Handle inquiries and direct them to the appropriate department or personnel.
· Perform other clerical receptionist duties such as photocopying and faxing.
· Assist new residents with Spark, gate passes, and website app.
· Perform notary as requested by residents.
· Perform other duties as requested.
Qualifications:
· High school diploma or equivalent; additional certification in Office Management is a plus.
· Proven work experience as a receptionist, front office representative, or similar role.
· Proficiency in Microsoft Office Suite.
· Hands-on experience with office equipment (e.g., fax machines and printers).
· Professional attitude and appearance.
· Strong written and verbal communication skills.
· Ability to be resourceful and proactive when issues arise.
· Excellent organizational skills.
· Multitasking and time-management skills, with the ability to prioritize tasks.
· Customer service attitude.
· Being a notary is a plus.
· Flexibility based on office needs.
