The HR Assistant will work as a key member of the Human Resources Team at the Chocolate Bayou Alvin, TX office. The HR Assistant reports to the HR Supervisor with a dotted line to the Learning & Development Supervisor.
The ideal candidate must have a background in payroll processing, Human Resources administration, strong willingness to learn, a great attitude, be a team player, and have the ability to multi-task and work independently. A great degree of personal initiative, strong interpersonal skills and the ability to prioritize is required. This role works very closely with all members of the HR team. Attention to detail coupled with excellent communication skills are essential in this role.

Responsibilities And Accountabilities
This position is responsible for all activities involved in supporting members of the HR Team, Management and Site Employees. The position is also accountable for understanding and putting into practice the INEOS 20 Principles.
Accountability 1: Payroll Administration
- Maintain Human Resources Information System (HRIS) data within Workday, including processing of new hires, terminations, transfers, compensation changes and other required employee data changes.
- Certify accuracy of all timecard and payroll related transactions and support and resolve payroll related issues
- Assist with administrative duties related to scheduling and time sheet system for hourly employees
- Process payroll entries, complete EIBs for payroll and time off loads, edit payroll data, transactions, and deductions for new hires and existing employees
- Completing all year end payroll related items
- Serve as a first-line HR contact to the CBW employees, and assist with handling of payroll-related issues, concerns, and questions regarding benefits, policies, procedures, etc.
- Oversee the site recognition program to include distributing gift cards, tracking usage and making entries within Workday for imputed income
- Provide assistance to the Human Resources team to include ad-hoc reports, scheduling of meetings, etc.
- Train line staff in administering payroll procedures, policies, and practices
- Prepare and process bill payments for HR-related vendors and benefits.
- Handle highly sensitive and confidential records and material, including personnel files, I-9 documentation, etc.
- Develop PowerPoint, Excel or Word documents from basic information or data to be used in reports or presentations.
- Process required information on claims relating to Workers Compensation and/or Long Term Disability
- Assist with leave notifications, and entries within Workday; to include short term disability, long term disability and family medical leave
- Maintain and update HR SharePoint site as needed
- Prepare for and conduct New Employee Orientation for HR policies and benefits
- Process invoices for the HR team through SAP
- Oversee Service Award Program
- Issue approved communications
- Assist with recruiting activities, to include scheduling interviews, reserving conference rooms, etc.
- Special projects and other responsibilities as requested
- The incumbent is the backup point-of-contact regarding all Virtual Training Assistant (VTA) related issues for CBW as well as other INEOS locations in North America.
- VTA system management to include entering new hires, terminations, leave of absences, and transfers
- Support and troubleshoot VTA system issues and problems
- Issue monthly overdue reports to management
- Provide support during planned and unplanned VTA outages to include issuing notifications to site on outages
- Work directly with PC users at the site to resolve VTA related IT issues and questions.
- Maintain training and testing records database within VTA
- Support the development and management of Computer Based Training (CBT) modules; including update modules as needed
- Support and coordinate various classroom training, including new hire orientation and onboarding process
- Assist in maintaining and updating CBTV content
Skills & Knowledge Required
- High School Diploma or equivalent required
- Experience with Workday or other HR Information Systems (HRIS) required
- Experience processing Payroll required
- Minimum of two years HR administrative or clerical experience is required.
- Experience in Learning Management Systems a plus
- Experience in a manufacturing environment preferred
- Proficient in MS Outlook, Excel, Word, PowerPoint, SharePoint
- Strong organizational and communication skills
- Ability to maintain strict confidentiality
- Ability to work with little direction
- Must be flexible and willing to handle a wide variety of responsibilities and take the initiative to manage tasks independently
- Excellent interpersonal skills and the ability to communicate clearly and concisely with individuals inside and outside the company
