Position Summary:
We are seeking a dedicated and organized Medical Receptionist to serve as the first point of contact for patients, physicians, and staff. This role is responsible for answering and directing incoming calls, scheduling appointments, registering new patients, and ensuring smooth operations in a busy clinical trial setting. You will help recruit for ongoing and new clinical studies, providing patients with relevant study information and ensuring they are registered and scheduled in accordance with protocol.
Essential Job Duties:
- Answer clinic phones, monitor call queues, and direct calls to appropriate team members in a timely manner.
- Familiarize yourself with current clinical trials to accurately inform patients about study details (compensation, doctor visits, lab results, study medication).
- Schedule and reschedule patient appointments based on availability and written protocols, ensuring patient preferences are accommodated.
- Register new patients, answer their questions, and direct them to appropriate clinical staff when necessary.
- Perform computer data entry related to patient registration, scheduling, and other assigned programs.
- Maintain a clean and welcoming reception area and lobby for patients and visitors.
- Assist with general office duties, including distributing mail, faxes, and other administrative tasks as needed.
- Support the Clinic Supervisor with additional duties and responsibilities as required.
Knowledge, Skills, and Abilities:
- High school diploma or equivalent.
- Excellent customer service skills with a professional and friendly demeanor.
- Knowledge of basic medical terminology and prior experience in a medical office setting, including phone handling and appointment scheduling.
- Strong organizational and multitasking abilities with the ability to prioritize tasks effectively.
- Ability to work under pressure while maintaining a positive attitude and flexibility.
- Strong problem-solving and communication skills.
- Ability to work independently with minimal supervision while using professional judgment and diplomacy.
- Capable of working well in a team-oriented environment, collaborating with a variety of professionals.
Qualifications:
- Experience in medical office administration or similar environments preferred.
- Strong verbal and written communication skills.
- Must be able to adapt to changing circumstances and assist in various aspects of the clinic’s operations.
- Ability to present information clearly and professionally to staff, patients, and other stakeholders.
