HVAC Project Coordinator
Job Description
Under the general direction of the Director of Service Department, the Project Coordinator is to ensure the construction schedules, safety, quality standards, customer satisfaction, trade partners' effectiveness, and maximum profitability are maintained throughout the project's progress. The Project Coordinator is accountable for the assigned projects' overall performance and is responsible for understanding, planning, executing, controlling, monitoring, reviewing, and delivering all components of the project. The Project Coordinator is the primary point of contact for the projects assigned.
Responsibilities and Duties
∙ Review contract documents, clarify the scope, and resolve discrepancies.
∙ Track progress of assigned jobs to ensure adherence to plans, specifications, construction schedule and to ensure completion of work within target deadlines.
∙ Review, generate and manage project documents (RFIs, submittals, bulletins, etc.).
∙ Setup, manage, and maintain service dept. server to control project documents.
∙ Prepare, submit and negotiate change orders and collect/generate required backup documents.
∙ Issue notices to clients, vendors, and subcontractors related to contract changes.
∙ Coordinate in-house workforce and resources among the service dept and construction dept.
∙ Assign tasks to Tradesmen and subcontractors based on priority, importance, and schedule.
∙ Create proposals and estimates for customers’ approval.
∙ Buy out and Procure major equipment.
∙ Issue purchase orders and subcontracts.
∙ Release equipment and material per approved submittals.
∙ Schedule dates for equipment/material deliveries, site inspections, equipment startup and commissioning.
∙ Adhere and support the organization's safety, observing OSHA and all state-level agency regulations.
∙ Identify and secure permits, licenses, and procedures required in place prior to commencement of work.
