About the Role:

As a Front Office Assistant, you’ll be responsible for managing the front desk, assisting with administrative tasks, and offering support across various departments. Your responsibilities will include greeting visitors, answering phone calls, handling inquiries, and providing excellent service to create a seamless experience for everyone who interacts with our office.

This position is perfect for someone who is detail-oriented, organized, and enjoys engaging with people—whether in person, on the phone, or by email.

What You’ll Be Doing:

  • Greet visitors, clients, and staff in a friendly and professional manner
  • Answer incoming phone calls, direct them to the appropriate person or department, and respond to inquiries
  • Manage the office’s front desk, ensuring it’s always organized, presentable, and welcoming
  • Perform basic administrative tasks, such as scheduling appointments, managing mail, and maintaining office supplies
  • Assist with client and employee communications, including emails and follow-up calls
  • Help resolve minor issues or direct concerns to the appropriate team member for further action
  • Maintain accurate records and documents to support office operations
  • Collaborate with team members to ensure the office runs smoothly and efficiently

What We’re Looking For:

  • Strong verbal and written communication skills, with the ability to engage with a variety of people in a clear, friendly, and professional manner
  • Excellent organizational and multitasking abilities, with attention to detail
  • Comfortable with computer systems and office software (training will be provided)
  • Ability to stay calm and effective in a fast-paced, sometimes high-pressure environment
  • A proactive, can-do attitude and a willingness to take on new tasks as needed
  • Prior experience in administrative, customer service, or front desk roles is a plus but not required
  • Flexibility to handle a variety of tasks and be a resourceful problem-solver
