Job Description
We're looking for a super-organized, proactive, and detail-loving Video Production Coordinator to join our fast-paced and collaborative Studios team. If you thrive on juggling multiple projects, enjoy working with creative teams and clients, and have a knack for keeping everything running smoothly behind the scenes — this role is for you.
You'll play a key part in making sure our video productions go off without a hitch, from the first conversation through to final delivery. That means working closely with clients, coordinating with our amazing freelance talent, and ensuring timelines, travel, footage, and finances are all under control.
What you'll be doing:
Client Communication
Act as a go-to for clients throughout the production process.
Make sure their vision, needs, and feedback are clearly understood and shared with the team.
Post-Production & Graphics Coordination
Book and manage freelance editors and motion designers.
Keep post-production timelines tight and deliverables on track.
Project Intake & Handover
Gather all the essentials when new projects come in.
Make sure everyone involved has what they need from day one.
Call Sheets & Crew Booking
Create and distribute clear, detailed call sheets.
Book the right crew for each project and handle any travel logistics.
Footage Management
Keep footage safe, backed up, and organized for easy access.
Help set up projects and prep assets for editors.
Admin & Logistics
Process invoices and purchase orders.
Arrange Certificates of Insurance when needed.
Stay on top of expenses, quotes, and subscriptions.
Location & Crew Research
Scout and research shoot locations that match creative needs.
Source new talent (from editors to animators) to keep our freelance pool fresh.
Virtual Production Support
Coordinate tech rehearsals for virtual shoots.
Jump in on internal quick-turn edits or assist when overflow hits.
Project Tracking
Use our project management tools to help keep everything visible and on schedule.

Qualifications
- Bachelor's degree in Film/Video Production, Media Studies, Communications, a related field or relevant industry experience.
- Experience in video production coordination or a similar role.
- Strong organizational and multitasking skills.
- Excellent communication and client management abilities.
- Proficiency in project management toolsAirtable proficiency is a plus!
- Familiarity with video editing software and basic editing skills. (Adobe Creative Suite)
- Ability to work under tight deadlines and handle multiple projects simultaneously.
