SUMMARY: The High School Athletic Department Administrative Assistant supports the Athletic Director by managing correspondence, maintaining student athletic records, coordinating events, processing purchase orders, handling athletic budgets, and serving as the primary administrative contact for students, parents, and staff regarding athletic matters.
Required Qualifications:
- Associate's degree or equivalent educational experience
- Minimum of 2 years administrative support experience with demonstrated proficiency in:
- Document preparation and management
- Record keeping and filing systems
- Database management and office technology applications
- Strong written communication skills, including grammar, spelling, and proofreading
- Proven ability to handle confidential information with appropriate discretion
- Demonstrated organizational skills and ability to prioritize multiple tasks independently
- Excellent interpersonal skills for effective communication with diverse stakeholders including students, staff, and parents
- Ability to work collaboratively in a team environment while maintaining self-direction
Preferred Qualifications:
- Prior experience in an educational or athletic environment
- Advanced proficiency in school-specific software systems
- Demonstrated excellence in external communications and public relations
- Experience with budget tracking and financial record-keeping procedures
Duties and Responsibilities:
- Prepare and manage confidential correspondence, reports, and documents for athletic administration
- Maintain comprehensive athletic records, including student participation, fees, medical information, and eligibility
- Coordinate and provide administrative support for all athletic events and operations
- Process and track athletic department financial transactions, including purchase orders and purchase card administration
- Manage and monitor athletic and high school departmental budgets
- Serve as primary administrative contact for athletics-related inquiries from students, parents, coaches, and staff
- Update and maintain athletic department website content
- Support payroll processing for athletic personnel
- Maintain accurate student-athlete attendance and participation records
- Collaborate with school office staff on parent/teacher conferences, student records, and general administrative needs
- Answer phones, assist in daily attendance routines and other front office duties
- Perform additional responsibilities as assigned by the Athletic Director or school administration
Reports to: Principal or Designee
Terms of Employment: Full-time, Non-Exempt, 194 days per year
Days/Hours: Monday-Friday, 40 hours per week (7:00 a.m.-3:30 p.m.)
Compensation: According to Haslett Educational Secretaries Association Agreement
