Job Description:
- General administrative duties including but not limited to answering telephones; processing daily mail; operating office equipment (printers, photocopiers, scanners, etc.); maintaining attorney’s calendar, schedules and contacts; reserving conference rooms for meetings and events; entering attorney’s time.
- Prepare travel itineraries and arrange travel.
- Draft complex correspondence and documents (e.g., court forms, pleadings, e-mails responding to client inquiries) and anticipates attorney’s need for same.
- Review and edit prebills; prepare and process final billing.
- Ensure attorney’s e-mails and documents are properly filed.
- Create and process new client and new client matter accounts (conflict checks, retainer letter and file opening).
- Organize and maintain client files and keep filing up-to-date.
- Organize tasks for maximum efficiency and manage conflicting priorities effectively.
- Embrace change and adapt well in new environments.
Skills, Knowledge and Abilities:
- Advanced level experience in Microsoft Outlook, Word (especially red-lining documents), PowerPoint, and Excel.
- Excellent proofreading and organizational skills.
- High level of attention to detail.
- Provide exemplary internal and external client service by possessing and utilizing strong telephone and interpersonal skills with staff, peers and administrators, as well as the firm's clients and external contacts.
- A minimum of 5-10 years secretarial experience with substantive experience in specific practice areas (e.g., litigation, corporate).
- Thorough knowledge of office organization, workflow and procedures.
- Demonstrate ability to multi-task and handle competing priorities.
- Demonstrate ability to communicate with finesse, use tact, diplomacy and discretion with firm contacts and clients.
- Demonstrate ability to maintain composure during stressful situations occurring as a result of workloads and/or deadlines, by resourcefulness, anticipating needs, prioritizing responsibilities, anticipating calendar conflicts and proactively managing schedule changes.
- Ability to think critically and analytically in a pressured environment
- Strong problem solving skills.

Pay: $28.00 - $30.00 per hour
