What We’re Looking For:
We are seeking a highly organized and proactive Administrative Assistant to support our property management team. The ideal candidate will provide administrative support for daily operations, ensuring efficient office management, client communication, and property-related tasks. The role requires strong multitasking abilities, attention to detail, and excellent customer service skills.
Job Responsibilities:

Administrative Support:
Provide administrative assistance to the Property Manager, ensuring smooth day-to-day operations of the property management office. -
Tenant Communication:
Handle tenant inquiries via phone, email, and in-person, addressing concerns or directing them to the appropriate department or person. -
Maintenance Coordination:
Record and follow up on maintenance requests, ensuring timely resolution and ensuring tenants and contractors are kept informed. -
Accounts and Billing:
Assist with invoicing and payment tracking, including rent collection, account reconciliations, and processing vendor payments. -
Record Keeping:
Maintain organized files for all property-related documents, including tenant files, lease agreements, maintenance records, and financial reports. -
Property Inspections and Showings:
Assist in scheduling property inspections, showings for prospective tenants, and move-in/move-out coordination. -
Data Entry & Reporting:
Input data related to leasing activity, tenant status, and property conditions into property management software.
Who We Are Looking For (Ideal Candidate):
- High school diploma or equivalent; associate's or bachelor's degree in business administration, real estate, or a related field is a plus.
- Previous administrative experience, preferably in property management or real estate.
- Familiarity with property management software (Yardi).
- Strong communication skills, both verbal and written
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail, organizational, and time-management skills
- Ability to multitask and prioritize in a fast-paced environment
- Excellent customer service skills, with the ability to handle tenant and client concerns effectively.
Working Conditions:
- Currently onsite in Waite Park, MN (not fully remote)
- Full time/Hourly
- Pay range $21.00 - $25.00, depending on experience.
