JOB TITLE: ACCOUNTANT

REPORT TO: BUSINESS MANAGER

BASIC FUNCTION: Under the direction of the Business Manager, provides direct supervision of the department’s accounting functions and performs a variety of the more complex accounting and administrative duties and responsibilities involved in the maintenance of the organization’s financial and tax records. May perform some of the duties of Business Manager in his/her absence.

REPRESENTATIVE DUTIES: The duties recorded below are intended to accurately represent the duties of the class and are not intended to cover every single duty of the job.

1. Assigns, supervises, reviews and evaluates the work of assigned accounting/bookkeeping personnel; provides training; assistance and advice as appropriate.

2. Provides direct supervision of and participates in department accounting functions, including A/P, C/R, P/R, grant/contract invoicing, purchasing and all other tasks involved in the day to day financial activity of the corporation.

3. Makes sure that all accounting transactions under his/her responsibility are properly recorded according to sound Accounting Principles and internal company policies and procedures.

4. Reviews documentation of various financial activities and transactions, as well as routine financial reports, under his/her responsibility, to ensure accuracy and compliance with proper accounting procedures.

5. Assists with grant reporting, budgeting and other financial requirements with grant/contract administrators.

6. Processes electronic federal withdrawals; transfers funds from one account to another.

7. Maintains responsibility for all payment checks and obtains proper signatures in a timely manner.

8. Contacts bank officials to resolve routine problems or issues regarding transfers, deposits, stop payment or the issuance of checks.

9. Works with Human Resources personnel to coordinate personnel paperwork and issues; implements all personnel policies legally binding the finances of the employees.

10. Reviews overall accounting transactions under his/her responsibility to make sure they are correct before closing the month.

11. Prepares financial reports as instructed by supervisor, including tax reports, statistical reports, etc.

12. Assists with the reconciliation of balance sheet accounts and provides documentation for review by auditors.

13. Responsible for cash deposits and reconciliation of cash received by the whole corporation, as well as monthly reconciliation of bank accounts.

14. Reconcile bank accounts and enter corresponding adjusting entries.

15. Maintain updated contracts and agreements for payment

16. Responds to inquiries regarding accounting transactions.

17. Prepares correspondence related to the Department and makes recommendation for changes in current Accounting policies and procedures when appropriate

18. Assists with the control of corporations Fixed Assets.

19. Operates a variety of office equipment, including computers, printers, typewriters, copiers, fax machine, ten-key calculator, telephone, etc.

20. Utilizes various software programs and computers to perform accounting and recordkeeping duties.

21. Responsible for keeping Accounting Records and electronic backups as wells as making sure that accounting software problems are corrected when they occur.

22. Performs other duties as may be assigned.

23. May perform some duties of the Supervisor in his/her absence.

Accountant’s specific responsibilities will be defined by Supervisor and may not include all the assignments specified above at any given time. Employees holding Accountant’s positions are expected to be cross trained and be proficient in all the functions of the job to be able to substitute for another Accountant or exchange duties with him/her at the discretion of their Supervisor.

EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from college with a Bachelor’s degree in business, accounting or related field or at least three years of experience directly related to the duties and responsibilities of the JOB.

KNOWLEDGE AND ABILITIES: Knowledge of the supervisory methods; knowledge of the methods, practices and terminology used in accounting and financial record keeping; knowledge of a variety of software programs related to word processing and spread sheets, ledgers and journals; ability to follow and interpret accounting policies and procedures and the Chart of Accounts properly, as well as personnel policies and procedures; ability to post data and make arithmetic calculations rapidly and accurately; ability to use ten-key calculator by touch and type 40 words per minute; ability to work under frequent interruptions; ability to detect accounting errors and initiate corrective action; ability to supervise and evaluate the work of others; ability to establish and maintain cooperative relations with co-workers, professionals and the public.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES: Provides direct supervision of assigned accounting staff.

PHYSICAL EFFORT: Normal Office Environment.

CONTACTS: Supervisor, co-workers, other department personnel, bank personnel, auditors, vendors, etc.

WORKING CONDITIONS: Work is performed under stressful conditions. Must comply with the Innercare HIPPA Corporate Compliance Program.

Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.
