Job Summary:
Innerline Engineering, Inc. is a pipeline and underground maintenance company with our corporate office located in Corona, CA. Innerline has been in the industry for over 20 years and operate all over the state of California.
We are looking for a sharp, motivated and responsible Office Manager. This individual will play an integral role in supporting the Regional Project manager, field employees and management team.
The ideal candidate should be proactive and takes initiative, have strong work-ethic, self-accountability, excellent verbal and written communication skills and ability to work well both individually and in a team environment.
Responsibilities
- Perform basic office functions - answer calls / reception / emails/ client communication, effective letter correspondence / copying / scanning / filing / faxing / mail
- Assist with project logs and maps
- Assist in updating and maintaining project board and project tracker file
- Develop and maintain a filing system for work orders, purchase orders, insurance certificates
- Update and maintain company policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain vehicle and equipment lists
- Book travel arrangements and maintain hotel tracker
- Prepare and process new hire onboarding documents
- Act as the point of contact for internal and external clients
Skills
- 1 to 3 years of administrative or office experience
- Ability to interact with internal and external stakeholders at all organizational levels
- Previous experience booking and coordinating travel for employees
- Demonstrated proficiency in MS Office suite (Excel, Word, Outlook)
- Exceptional organization and time management
- Effective communication skills, verbal and written
- Ability to prioritize and multitask competing projects and meet defined deadlines
- Ability to maintain confidentiality of information and high degree of professionalism
- High level attention to detail with the ability to multitask, prioritize and be flexible with changing business needs in a team environment
- Must be reliable and expected to be at the office Monday through Friday
