Innovative Health Care Concepts is seeking an Administrative Assistant to join our team. This position is full-time with benefits, set hours, no weekends nor major holidays!
We provide services to adults and children with intellectual and/or developmental disabilities and we are looking for someone to provide exceptional administrative support in the day to day operations of our administration, records, and compliance areas of our business. This position requires strong organizational skills, effective time management, and a commitment to delivering outstanding service to our clients and staff.
Our ideal candidate will have medical records experience and excellent verbal and written communication skills. We are also looking for an individual with great organizational skills and the ability to multi-task and prioritize tasks on the go.
Job duties will include:
- Manage the flow of incoming and outgoing documentation.
- Scanning, logging and uploading to the EHR client documentation.
- Manage the integrity of the electronic records platform and client charts.
- Reviewing compliance of filing conventions and company standards.
- Tracking documentation and creating periodic file status reports for multiple departments.
- Interacting with administrators, social workers, service providers, and caretakers.
- Act as communication conduit between government agencies, other providers, and our staff.
- Distribution of incoming communication, reports and documents to the appropriate staff members.
- Creating, combining, converting and preparation of multiple document types into PDF files for uploading and archiving.
- Responding to document requests.
- Answering phones and fielding calls when needed.
- Input client data into the software program
- Manage disclosures of PHI
- Ensure HIPAA compliance
- Make copies and distribute information
- Open and close building if needed
- Manage office supplies and monthly shopping list
Our ideal candidate will have the following:
- Proven experience in a medical administrative assistant role or similar position or education.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Strong communication and interpersonal skills.
- Ability to write in a clear, concise, accurate and professional tone.
- Excellent time management skills to prioritize tasks effectively.
- Proficiency in office software applications (e.g., Microsoft Office Suite, Adobe Pro).
- Strong typing skills with attention to detail for accurate data entry.
- Ability to work independently as well as part of a team in a dynamic environment.
- Attention to detail, especially in proofreading and document management.
- Ability to maintain confidentiality and professionalism and handle sensitive information appropriately.
- Familiarity with HIPAA regulations and the importance of maintaining confidentiality
- High School Diploma or equivalent is required. Some college is preferred.
