Responsibilities:

Client Service Support:

• Manage incoming service requests from clients and relationship managers (e.g., account applications, custodial paperwork, money movements (wire, ACH, TOA), etc.) while delivering superior customer service.
• Promptly process client cashiering transactions, including deposits and distributions.
• Facilitate account openings, transfers, and investment funding processes, adhering closely to standardized practices and procedures while ensuring a seamless onboarding experience for clients.
• Coordinate with the broker-dealer to resolve client issues.
• Maintain up-to-date records of all transactions and communications.
• Address client concerns proactively and escalate issues when necessary.

Operations and Compliance Support:

• Ensure compliance with all regulatory requirements and company policies.
• Maintain accurate client records in CRM.
• Assist with various operations- and compliance-related tasks, including client reporting and maintaining accurate documentation for auditing purposes.
• Lead and oversee special projects as assigned, ensuring they are completed on time and within scope.
• Support the implementation of operational best practices and technology enhancements.

Qualifications and Skills:

• Relevant work experience with a wealth management firm is a must.
• In-person presence several days a week is required (hybrid schedule).
• Available to work 9am-12pm daily.
• Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel is required.
• Proficiency with CRM systems (e.g. Redtail, HubSpot).
• Strong interpersonal and communication skills to provide high-touch client service.
• Detail-oriented with exceptional organizational skills.
• Must have the ability to establish priorities, identify resources, and manage multiple projects in a deadline-oriented environment.
• Experience/exposure to digital marketing a plus (website, social media, blog).
