IT@JH Administration and Finance is seeking an HR Generalist who will report directly to the HR Director. The position manages day-to-day HR operations and compliance and serves as a trusted partner who works independently with senior leaders, managers, staff and Central HR for JHU and JHHS as required. The HR Generalist serves roughly 500 JHU and 800 JHHS staff in IT@JH alongside a team of two other Generalists, two HR Coordinators and a casual Payroll Assistant. Our ~1,300 staff are based at six campuses in Baltimore and St. Petersburg, FL, but we also have a significant number of fully remote staff.
Responsibilities of the HR Generalist position include guiding managers during employee relations cases, interpreting and explaining JHU and JHHS policies to management and staff, employee engagement, compensation, HR / Finance data analysis, preparation of HR communications, managing visa process for international staff, ADA accommodations, FMLA / STD / LTD claims and more. Will serve as one of our primary points of contact for staff, management and senior leadership with questions on policies, guidelines and procedures for JHU and JHHS HR matters.
Specific Duties & Responsibilities
- Serve as first level of intake and consultation on employee relations matters.
- Advise managers on appropriate steps of progressive disciplinary process.
- Gather information and consult with HR Director as needed.
- Document all employee relations issues in HR Acuity.
- Participate in disciplinary action and performance improvement meetings, including terminations, with and without the presence of the HR Director.
- Consult on JHU and JHHS policies, procedures, and practices with all full time, part-time, limited, casual, and student employees.
- Offer guidance on policy application in various situations.
- Along with other members of HR Team, provide “Welcome to IT” onboarding meetings within 30 days of new hires for JHU staff. Periodically review content of those meetings and make changes as appropriate.
- With HR Director, administer the stay interview process for JHU and JHHS employees in IT@JH. This includes scheduling individual meetings with employees and HR Manager, recording responses during stay interviews, providing a summary of responses per team and creating a recommended action plan to address issues identified during stay interviews.
- Assist with conducting exit interviews for JHU employees.
- Report issues of concern immediately to HR Director. Provide quarterly report summarizing responses.
- Assist managers with reading and interpreting annual Glint survey reports, preparing for their action planning meetings with their teams, and with ongoing follow up.
- In collaboration with HR Director, assist with management of the performance review process by providing updates, information, and training. Inform and remind managers and employees throughout the year on their ongoing responsibilities with goal submission, regular feedback, and formal evaluation deadlines.
- Prepare BI Analysis reports from SAP as needed to assist HR Director, JHU Central HR, and JHHS Central HR with requests for departmental data.
- Approve ISRs, Employment Actions and OMT requests submitted by the HR Coordinator and Payroll Assistant for new hires, position maintains, salary adjustments, job postings, as well as special payments for overtime, on-call, shift differential, etc. Initiate ISRs and Employee Actions for JHU, JHH and JHHS positions on an as-needed basis.
- Generate HR master data reports as needed and share with appropriate requestors.
- As needed, assist the Sr. Director of Finance with financial analysis of payroll data.
- Maintain integrity of HR data in SAP, periodically running reports to check for errors or missing data, and submitting position maintain ISRs or supervisor change actions to correct any mistakes.
- Maintain integrity of IT@JH SYMPA mailing lists.
- Ensure compliance with JHU and JHHS policies or federal / state laws.
- Manage FMLA, STD and LTD claims as needed.
- Upon request, provide training on HR topics at new employee orientation, team meetings, management forums, etc.
- Review Kronos timecards and follow up with JHHS employees and managers, as needed, to make any necessary edits on JHHS Payroll Mondays.
- Other duties as assigned.

JHU Equivalency Formula : 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
