The Executive Assistant will provide high-level administrative support to the Human Resources (HR) Director and the Professional Development (PD) and HR Teams, facilitating effective communication and project management. Responsibilities include managing schedules, coordinating meetings and events, preparing reports and presentations, and assisting with HR initiatives and programs.
This is a full-time position. Ability to work independently, typically 40 hours per week is required. Ability to maintain a professional home office without distraction during workday, typically 8-4 or as defined by the school.
Salary Range: $65,000 - $75,000/year
Remote/Hybrid - Travel 2-4x per month Must reside in Southeastern Pennsylvania
Essential Functions

- Maintains HR Director’s calendar, including scheduling meetings and appointments as needed;
- Maintains HR Director’s Planner (microsoft application) and ensures action items are delegated and ensures tasks are completed;
- Travels to the office to ensure confidential information is appropriately mailed, filed, scanned and/or destroyed;
- Monitors and responds to emails in the general HR email inbox;Assists employees by answering HR questions and processing employment verifications and other documents required for our employees;
- Monitors and responds to emails in the HR Director’s inbox when required;
- Maintains physical and electronic employee files, organizes and maintains employee information in HR Information system, and files correspondence and other records;
- Pulls documents and reports from the HRIS and performs some data formatting and analysis;
- Completes expense reports for the HR Director and other members of the HR and PD teams,
- Assists HR Director with coordinating investigations by; compiling data, evidence, and creating summary reports to follow up an investigation or termination;
- Assists with the onboarding process of new hires including compiling clearances, processing onboarding in HRIS system, and managing the Act 168 database; Maintains Recruiting tracking spreadsheets to provide updates to school leadership as needed;
- Plans and coordinates meetings and events across the HR and PD department including preparing the agendas, sending meeting invites, taking notes;
- Maintains employee clearance tracking system including monitoring expiration dates and collecting and filing clearance documents;
- Assists the HR and PD team in drafting email communications;
- Tracks HR and PD team budget expenditures in real time;
- Assists with special projects across the HR and PD departments as needed(i.e. Open Enrollment, Performance Appraisals, Annual Handbook Review etc.)
Supervisory Responsibilities
This position has no regular supervisory responsibilities.
Minimum Required Qualifications
- Four (4) years of experience in a similar role?
- All PDE required clearances for school-based personnel

- This is a home-based position. When office days are required, the noise level in the office is usually moderate (computers, printers, light foot traffic).
- This position could include limited travel and could include limited overnight travel. This is estimated to be less than 5% of the time.
