Insight Pest Solutions NY is currently looking for an Office Manager to join our team! On a daily basis, you will be the first point of contact for both our clients and internal staff. Your attention to detail and strong communication skills will help organize financial transactions, scheduling, and prepare a variety of reports. Whether it is engaging with clients through digital communications or liaising with senior managers, your energetic and positive attitude will be foundational to ensuring exceptional customer service and fostering a positive working environment.
Position Summary - Responsibilities:
- Assisting with day-to-day operations to ensure the office is running smoothly, such as depositing reports for all branch offices and handling bank deposits
- Tracking, approving, and editing technician hours for payroll purposes
- Managing, tracking, and recording any expenses related to the branch office
- Maintaining relationships with sales managers to ensure a synergistic relationship between sales and service
- Staying up to date on relevant industry trends and regulations as well as ensuring that the office adheres to them
- Oversee HR functions including recruitment, onboarding, state compliance, and employee support, to ensure a positive and efficient workplace
- Manage and maintain CRM systems and databases for data entry, routing, and other reports
- Complete outbound calls to clients on an as needed basis
- Liaise with the appropriate department representatives to address any customer concerns or inquiries
- Ensure all requests comply with existing policies and procedures prior to processing.
- Monitor, track, and accept all deliveries
- Provide access for technicians to collect product
- Tracking and recording cheques and cash brought in by technicians; applying amount collected to client accounts
- Scanning and sending documents to appropriate channels; filing paperwork for record-keeping purposes
- Maintaining a clean and organized office environment
- Monitor and track shipment paperwork received for any inventory
- Booking technician exams, keeping track of exam dates, and updating start dates based on exam results
- Checking and organizing mail, twice a week
- Perform other tasks assigned by the direct supervisor as, and when, required.
Qualifications - What will make you successful:
- 1 years of experience working in an office manager or similar administrative role
- Self motivated individuals who are able to work with little supervision
- Strong attention to detail and ability to manage multiple tasks and deadlines
- Excellent communication and interpersonal skills; robust ability to communicate in an informative, professional, and empathetic manner
- Exemplifies a strong collaborative and teamwork-driven skillset
