Inspire Physical Therapy is currently seeking a full-time Front Office Manager to join our pediatric physical therapy team. We are looking for a dedicated professional who will oversee the administrative operations of the office, as well as, the first point of contact for our patients and visitors. This role will play a crucial role in ensuring a seamless operation and positive experience for those who pass through our doors. Responsibilities:

Patients-focus
- Welcome patients and visitors warmly, both in person and over the phone, addressing inquiries and directing them to appropriate staff members as needed.
- Manage appointment scheduling efficiently, ensuring timely reminders and minimizing service delays.
- Review financial obligations with patients and process in-clinic payments promptly.
Medical Records and Systems
- Create and manage electronic medical records, ensuring accuracy and confidentiality.
- Register patients, conduct eligibility, and benefit checks, and collaborate closely with the billing manager.
- Maintain meticulous records, documentation, and files to ensure accurate information management.
Practice's efficiency
- Maintain a tidy and organized reception and other general office areas, to uphold a professional clinic environment.
- Monitor and replenish office supplies inventory as needed.
- Direct office activities to promote efficiency and compliance with company policies.
- Help the practice's management in managing new programs towards the healing and well-being of our patients.
Leading aides and volunteers
- Mentor and manage an Office Assistant/PT Aide and volunteers to ensure efficient front office operations and reception coverage.
- Collaborate closely with Medical Biller to ensure optimal integration with therapists.
- Perform additional duties as assigned to support clinic operations.
Qualifications:
- High school diploma or equivalent.
- Minimum of two years of experience in a medical front office setting.
- Prior work experience in a supervisory role within a healthcare facility, is desirable.
- Familiarity with standard front office equipment and proficiency in Microsoft Office Suite or related software.
- Professional demeanor with the ability to remain calm and courteous under pressure.
- Knowledge of patient confidentiality and HIPAA requirements.
- Good working knowledge of medical terminology and CPT codes.
- Prior work experience with Prompt EMR, and scheduling software, highly desirable.

- Exceptional interpersonal skills to interact with patients of all ages, with a preference for experience in communicating with children and parents.
- Strong verbal and written communication skills.
- Impeccable organizational abilities with acute attention to detail.
- Proven time management skills, capable of meeting deadlines effectively.
- Ability to prioritize tasks and delegate when necessary.
Physical Requirements: Ability to sit for prolonged periods of time while working on a computer, performing repetitive movements, lifting up to 15-pounds, as well as bending/squatting.
Schedule: Monday to Friday, 7am to 3:30pm.
Compensation: The expected hourly rate for this position is $30.00 to $35.00 benefits, including profit sharing, 401(k) with Company match, and Paid Time Off/Company Paid Holidays.
