Position Summary:
We are seeking an experienced Registration Agent with advanced expertise in Cvent to join our team. In this role, you will manage the end-to-end registration process for our travelers, ensuring a smooth and efficient experience. You will collaborate closely with internal teams and external clients to deliver personalized service and maintain our high standards of customer satisfaction.
Key Responsibilities:
Cvent Event Management:
- Create and manage registration websites, including customization and branding.
- Set up and monitor event workflows, registration paths, and payment processing.
- Manage event reporting, analytics
- Troubleshoot and resolve technical issues within Cvent.
Traveler Support and Communication:
- Serve as a point of contact for travelers during the registration process.
- Provide detailed information about tours, itineraries, and special requirements.
- Assist with travel documentation preparation.
- Address traveler inquiries promptly and with a customer-focused approach.
- To understand and communicate our booking terms and conditions
- Follow up on customer payments and capture non-payments past deadline
- To coordinate and prepare event materials for shipment prior to event
- Ability to work and communicate with a diverse population of people
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Requires 40 hr. work week onsite in office. (Not a home office position)
- Collaborate with sales, marketing, and operations teams to ensure accurate registration data.
Quality Assurance:
- Review and validate traveler information to ensure accuracy and completeness.
- Implement quality control measures for all registration processes.
- Continuously evaluate and improve the registration experience.
Qualifications:
- Expert-level proficiency in Cvent (at least 3–5 years of experience required).
- Experience working with tour companies or in the travel industry, with a strong understanding of group travel logistics.
- Exceptional customer service skills, with the ability to manage diverse traveler needs.
- Strong attention to detail and organizational skills.
- Excellent communication skills, both written and verbal.
- Ability to multitask and thrive in a fast-paced environment.
- Proficiency in Microsoft Office Suite; experience with CRM systems is a plus.
Preferred Qualifications:
- Experience in international travel coordination.
- Knowledge of travel regulations and documentation requirements.
