Nautilus Environmental, part of the IEH Laboratories and Consulting Group, is looking for a part-time Administrative Assistant to join our growing and dynamic laboratory team. This on-site position will provide office support functions to our aquatic toxicology project and business managers based in San Diego, CA.
- A high school diploma or GED (required); a bachelor’s degree (preferred)
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Manager
- Knowledge of office management systems and procedures
- Working knowledge of general office equipment
- Proficiency in MS Office/Office 365
- Experience with QuickBooks or similar accounting software
- Excellent customer service, communication, problem solving, organization, and time management skills
- Attention to detail
- Must be able to work on-site
- Answering phones and directing calls
- Greeting office visitors and escorting visitors to their appropriate meeting places
- Managing inventory of office and kitchen supplies
- Maintaining office equipment
- Accepting, sorting, and delivering mail
- Coordinating routine facilities vendors, services, and maintenance (e.g. laboratory towel service, custodial, landscaping, plumbing, trash, etc.)
- Preparing and sending client invoices, in conjunction with project management team
- Managing accounts receivable/collections
- Facilitating vendor invoices and payments (accounts payable) with corporate office
- Processing W-9 requests
- Supporting maintenance of client and vendor contract files
- Researching and procuring new vendors as necessary
- Assist with planning and coordinating internal meetings and special events
- Assisting with proposal generation and other business development support tasks
- Entering data and preparing administrative reports
- Coordinating services and questions for tenants in sublease space
- Indoor plant care
- Promoting a positive and collaborative culture
- Other duties, as assigned
The pay range for this position is $22.00 – $28.00 hourly. This is a part-time position eligible for the following benefits: paid sick leave (1 hour for every 30 hours worked, up to 40 hours annually) and 401(k). Part-time employees may be eligible for medical insurance after 6 months if working more than 30 hours/week on average during an initial 5-month measurement period.
The shift for this position is Monday through Friday, from 8:00AM – 2:00PM.
