1st Shift Monday - Friday, 7 : 00 AM - 4 : 00 PM

Position Summary

The Conference Room Specialist is responsible for managing and setting up conference rooms, including arranging tables, chairs, and AV equipment. This is a high-level, customer-facing role requiring professionalism, strong communication skills, and the ability to follow setup instructions to meet client expectations. Additional responsibilities may include assisting with mail deliveries, copy / print production

Key Responsibilities

  • Set up and break down conference rooms for meetings, ensuring cleanliness and proper arrangement.
  • Schedule and coordinate conference room usage.
  • Maintain common areas, ensuring they are clean, well-stocked, and organized.
  • Take inventory and order office supplies as needed.
  • Cross-train in mailroom and copy / print services.
  • Provide outstanding customer service with a professional and cooperative attitude.
  • Follow business procedures and adhere to all safety protocols.
  • Perform additional tasks as assigned.

Requirements

  • Must be able to manage conference room requests and execute physical setups efficiently.
  • Requires significant walking due to the size of the customer's four-building campus.
  • Must be comfortable moving and lifting tables and chairs (up to 100 lbs with assistance).
  • Strong ability to work independently, follow directions, and maintain focus.
  • Experience with conference room setup is preferred.
  • Flexibility with scheduling is required.
  • Qualifications

  • High school diploma or GED required.
  • 1 years of experience in a related field (B2B, technical, or customer-facing roles).
  • Knowledge of technology and conference room equipment.
  • Strong problem-solving, customer service, and communication skills.
  • Ability to present to small groups.
  • Dress Code

  • Ricoh-provided shirts (collared shirts required until they are provided).
  • Jeans are allowed (must be in good condition, no rips or tears).
  • Comfortable shoes or sneakers required.
