Job Title: Payroll Specialist
Classification: Non-Exempt
Reports to: Payroll Specialist
Salary range: $55,000 - $65,000
CLOSE DATE: Anticipated 2/20/2025

Position Type/Expected Hours of Work: This is a full-time position, hours of business operation are Monday through Friday, 8:30 a.m. to 5:00 p.m.
Summary/Objective: The Payroll Specialist processes payroll for multi-client, multi-state small to mid-sized PEO client companies. The payroll specialist uses the Prism HR payroll software with accuracy and efficiency. They are good with numbers and can be trusted with sensitive information. They also have great communication skills to interact with colleagues and executives. The goal is to ensure personnel receives the correct compensation in a timely manner. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations. They will also be responsible for understanding and training client companies on Prism HR’s timekeeping system and for setting up new clients in the system from beginning to completion.
Essential duties and responsibilities:
Work Environment: This job operates hybrid remotely two days a week, and in a beautiful office environment three days a week (required). This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role. Some light lifting of boxes of paper, checks, up to 25 pounds is required on occasion.
Travel: No out of town travel is expected for this position. Occasional in town travel to local clients may be necessary.

Essential duties and responsibilities:
- Performs all activities necessary to process multi-client payrolls, including maintaining related records, filing tax reports, processing and filing involuntary deductions such as levies and garnishments, and preparing accounting transactions
- Collaborates and communicates with internal team members to ensure consistent messaging and processing of requests are completed
- Provides stellar customer service to ensure client satisfaction, which may include meeting with clients on occasion to ensure client’s needs are being met
- Maintains knowledge of InTANDEM HR invoicing process and monitors reconciliation items to ensure timely resolution
- Maintains knowledge of capability of Prism HR software to include web-based reports and online payroll processing
- Performs job costing setup and job costing input on payroll
- Processes multi-pay group and multi frequency payrolls
- Processes loan/uniform/pay advance deductions
- Sets up, maintains, administers, and troubleshoots PTO accruals in HRIS system
- Process urgent payrolls and urgent check requests on the same day when required by the client
- Inputs employee new hires and rehires into Prism HR software
- Inputs and maintains changes to employee data in system to include but not be limited to W-4s, address, name, rate, direct deposit, terminations, leaves, department, job codes, EEO, work comp, state changes
- Prioritizes and handles multiple deadlines
- Assists with filing and other administrative tasks
- Available to answer and direct phone calls
- Performs other duties as assigned
- Associates or Bachelor’s degree preferred but not required
- Bilingual in English and Spanish preferred but not required
- Minimum of three years relevant experience desired.
- FPC/CPP preferred but not required.
- Proven skills in payroll, data entry, and customer service.
- Understanding of minimum wage requirements and basic FLSA laws required, as are basic accounting and math skills, ability to maintain confidentiality in all aspects of the job, and ability to manage multiple tasks with frequent interruptions.
- Proficiency in Microsoft Office, and Intermediate to Advanced Excel proficiency.
- Experience in processing payroll for a PEO or payroll company.
- Experience with Prism software and TimeCo.
