INTEGRA Biosciences Corporation is an industry leader in innovative liquid handling products for the medical diagnostics, pharmaceutical, biotech, and food industries. The Front Office Representative is the first point of contact for visitors and staff. As a member of the Customer Service team, this role involves managing front desk operations, answering phones, performing general administrative tasks and provide assistance to customers.
Responsibilities:
- Welcome everyone with a friendly and professional demeanor to create a positive first impression.
- Answer phone calls promptly, redirecting them to the appropriate departments or personnel as needed.
- Address questions or concerns from guests and employees, providing solutions and employees
- Handle general questions from customers ensuring satisfaction, providing initial assistance and transferring them to the applicable department contact for further support.
- Successfully interact with both customers and internal employees across multiple departments, including customer service, field service, and sales.
- Accurately enter customer information into databases, reviewing and cleansing data to maintain its accuracy and completeness.
- Sort and manage the shared email inbox, responding to routine inquiries or redirecting them as necessary.
- Handle mail, manage and order office supplies, and ensure the front office area is clean and organized.
- Electronically check in visitors and issue guest badges.
- Ensure kitchen area is stocked with essential items including office refrigerators.
- Coordinate lunch accommodations upon request.
Qualifications and Requirements:
- Interpersonal skills: Excellent communication and a positive, approachable attitude.
- Time management: Ability to handle multiple tasks efficiently and prioritize effectively.
- Technical proficiency: Proficiency with Microsoft Office Suite is required.
- Attention to detail: Strong problem-solving abilities and meticulous attention to detail.
- Teamwork: Ability to work independently and collaboratively as part of a team.
- Professionalism: Maintain a professional appearance and demeanor at all times.
- Experience: Prior experience in customer service or reception roles is highly valued.
- Education: High school diploma or equivalent; a college degree is preferred.
- Additional skills: Knowledge of ERP (Enterprise Resource Planning) or CRM (Customer Relationship Management) systems is preferred.
