We are seeking a highly organized and proactive Service Project Coordinator to assist the Service Project Manager (SPM) with day-to-day coordination of equipment installation, start-up, and commissioning activities. This role is key in supporting the SPM with scheduling, logistics, and managing parts and resources, ensuring that all activities are completed on time and in compliance with safety and quality standards. The ideal candidate will be travel-ready and able to support on-site project needs across multiple locations.
Primary Responsibilities
- Assist the Service Project Manager with day-to-day operations on active projects, including equipment installation, start-up, and commissioning activities. Ensure the project runs smoothly by handling logistical and administrative tasks.
- Develop and maintain project schedules in coordination with the Service Project Manager, ensuring tasks are completed on time. Help manage timelines for site deliveries, equipment installations, and critical milestones.
- Coordinate logistics for materials, equipment, and personnel, ensuring everything is in place when needed. Liaise with vendors, suppliers, and internal teams to track the status of deliveries and project materials.
- Monitor parts inventory and material requirements for the project. Assist in ordering and tracking parts, ensuring that all necessary components are available on-site for the installation and commissioning processes.
- Support the Service Project Manager in maintaining accurate project documentation, including work orders, progress reports, inventory logs, and equipment tracking. Ensure that all paperwork is submitted on time and meets client and regulatory requirements.
- Serve as a point of contact for project teams and vendors, ensuring smooth communication throughout the project. Assist in addressing any questions or issues that arise related to logistics or parts.
- Assist the Service Project Manager with overseeing on-site activities, ensuring that work is progressing according to plan. Support troubleshooting and provide administrative help as needed to ensure issues are addressed in a timely manner.
- Address any logistical or resource-related challenges that may arise during the project. Ensure that the team has the necessary materials and support to continue work without unnecessary delays.
- 2 years of experience in project coordination, logistics, or administration, preferably in the construction, service, or industrial sectors. Experience supporting on-site operations and equipment installation is highly preferred.
- Must be willing to travel and work at multiple project sites, including being stationed on-site during the active project phases.
- Strong organizational and multitasking abilities, with the ability to manage multiple tasks simultaneously while maintaining a high level of attention to detail.
- Excellent verbal and written communication skills. Ability to interact effectively with project teams, vendors, suppliers, and clients.
- Ability to quickly identify issues and propose effective solutions. Strong decision-making skills to handle logistics and resource challenges.
- Basic understanding of construction, installation, and commissioning processes. Familiarity with equipment and systems used in HVAC, electrical, or mechanical projects is a plus.
- Experience with project management and scheduling tools (e.g., Microsoft Project, Procore, or similar). Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to work collaboratively with a diverse team, supporting the Service Project Manager and other on-site staff to achieve project objectives.
- Strong focus on accuracy, ensuring that all logistics, documentation, and materials are tracked and managed correctly.
