Role Summary:
We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team in Goleta, CA. In this full-time role, you will be the backbone of our sales division's administrative operations, ensuring seamless office management and supporting executive leadership. Key Responsibilities:
- Maintain and update tracking sheets, customer files, and databases with accuracy and attention to detail
- Answer multi-line phones, route calls, and manage internal and external correspondence
- Respond to customer inquiries, coordinate follow-ups, and ensure prompt resolution of issues
- Provide administrative support to directors, account managers, and other key staff
- Perform general clerical duties including scanning, faxing, mailing, and filing
- Handle confidential and time-sensitive documents and communications
- Deliver exceptional customer service via phone and email, representing IPT with professionalism and care
Required Qualifications:
- Proven experience in an administrative or assistant role, with a track record of reliability
- Proficiency in the Microsoft Office Suite, particularly Word, Excel, and Outlook
- Strong time management skills, with the ability to multi-task and prioritize effectively in a dynamic environment
- Exceptional organizational and communication abilities
- Keen attention to detail and excellent problem-solving skills
- Ability to work well under pressure and meet tight deadlines
- High school diploma or equivalent required; college degree preferred
Desired Skills & Qualifications:
- Advanced expertise in Microsoft Excel
- Previous experience managing client relationships
- Familiarity with the military or defense industry is a strong plus
