What are the responsibilities and job description for the Executive Assistant position at Integrated Resources, Inc ( IRI )?
- Pay Rate: $41.00/hr.
- Must be EXTREMELY polished
- Will be supporting 3 leaders - 2 C-Level and 1-Principal level
- Role is backfilling someone who will be leaving in the next 2 weeks. Seeking someone with immediate availability who can potentially start in the next week to have some overlap/training. This means they also need to be committed to initiating their compliance requirements ASAP open offer.
- Role will be 3 months to start with possible extension based on business need as the client looks for a long term fit. If this person is a rockstar, this could turn TTH but no guarantees.
- 100% onsite and hours are full-time standard business hours
- MUST HAVES:
- Emphasizing importance of professionalism/being polished
- Able to multi-task at the highest level (executive support and interactions)
- Strong experience in calendaring and managing schedules
- Highly organized as they will be coordinating, managing, and scheduling meetings across the function and with other groups
- Excellent written and verbal communication skills
- Strong MS Office Suite Skills - should be intermediate to advanced - this is a non-negotiable, the candidate must be tech savvy and able to use these programs with ease
- Prior Executive level support experience
The Executive Assistant provides a broad range of executive support for HoagExecutives and Medical Directors. Establishes a trusting relationship Executive Leadersand manages the operational and administrative aspects of day-to-day operations,allowing the Executives to focus on high-level leadership and strategy functions.Independently executes varied complex administration and project coordinationduties, frequently of a highly confidential nature. Coordinates the flow of information,maintain outlook calendars, financial reconciliations, sensitive personnel matters. Actsa conduit for information, screening and directing information to the appropriatepersonnel, acts as the gatekeeper for the executive’s office. Provides project support asrequested. Compiles and manages data, prepares reports, prepares agendas andminutes as requested, and organize projects. Schedule meetings and notifiesparticipants of changes as needed. This role may have direct and frequent contact withBoard members, patients, physicians, and community members. Projects an image ofprofessionalism in communication, appearance, and conduct. Performs other duties asassigned and provides support to other senior leadership members as requested.Supports Client's mission and vision. Collaborates across the organization asappropriate.
Foundation
: May require participation in meetings and donor events outside of normalbusiness hours including occasional evenings and/or weekends
HOI:
Provides contract management support, including preparing documents, trackingrenewals and expirations, and coordinating signatures. Responsible for maintainingrecords. Assists with preparation of meeting agendas and packets.
