Schedule Notes: This position will be assisting with the change from Cerner to Epic EMR systems with the newly integrated Ascension sites. Candidate will be tasked with assisting with all levels of the project working beside the Project Manager over multiple project teams involved in this process. REQUIRED: Associate degree, minimum of 2 years previous experience in a PMO role, proficiency in MS Office Suite, strong organizational skills, flexibility. Candidate may be required to be on site during the weekend for critical go lives and special events. Schedule will be hybrid with the candidate onsite Thursdays and working remotely most of the assignment.
Duties:
GENERAL SUMMARY:
The Project Coordinator duties will be to support the Project Management Office (PMO)
and assist project managers in the coordination of processes, administration, reporting,
and project execution. The Project Coordinator will also be responsible for managing
smaller projects, as assigned.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Assist the Project Manager and PMO Leadership to ensure project documents are
correctly organized and attributed.
2. Assist with scheduling deadlines and maintaining project deliverables schedules for
multiple projects.
3. Assist with subcontractor/vendor process.
4. Attend project meetings as needed.
5. Coordinate and track internal initiatives for PMO.
6. Track project deliverables as they move through the approval process.
7. Coordinate small to medium size projects to ensure delivery on time, on budget, and
to agreed quality standards.
8. Coordinate application teams and ensure timely execution of the various tasks.
9. Coordinate PMO/Project meetings including logistics, conference bridges and
distribution lists.
10. Document meeting minutes and follow-up on action items.
11. Assist PMO with the following process responsibilities, when needed:
o Time entry training, reporting, and tracking.
o Assist Project Managers to ensure time tracking for resources.
o Process re-engineering (workflows, documentation, training & communication).
o Provide Portfolio Management support.
o Assist with Portfolio auditing.
o Ensure project baseline has been taken for assigned projects.
Education:
EDUCATION/EXPERIENCE REQUIRED:
" Associate Degree or higher level of education required, preferably in Project
Management or related field.
" Two (2) years of work experience managing projects, SharePoint and MS Server
software preferred.
" Proficient in MS Office Suite (Excel, Word, PowerPoint, Visio).
