Job Summary
The Purchasing Assistant will support the procurement team in various administrative tasks, including managing SAP outline agreements, assisting with invoicing discrepancies, and ensuring the integrity of purchasing processes. The role involves collaboration with both internal teams and external suppliers.
Essential Duties & Responsibilities
1. Systems and Contracts – 40%
- Execute the creation and maintenance of SAP Outline Agreements.
- Provide ongoing support to plants covered under the special project.
- Ensure a high level of accuracy when creating and verifying material pricing to maintain variable margins.
- Manage the integrity of company purchases by verifying and maintaining all required purchasing documents (contracts, vendor setup, pricing, payment terms, etc.).
2. Accounting – 40%
- Resolve all invoice exceptions and discrepancies by working directly with suppliers.
- Ensure all credit notes and rebates are secured and posted.
- Identify suppliers with repeated exceptions, determine the root cause, and implement solutions to reduce future exceptions.
3. Processes – 20%
- Maintain a high level of accuracy in all processes managed for audit purposes.
Minimum Qualifications & Education Required
- Experience with ERP systems, preferably SAP.
- Preferred experience in Accounts Payable/Accounts Receivable.
- Strong proficiency in Microsoft Office Suite, particularly Excel.
- Fluent in Spanish.
