(8-10 hours/week PART-TIME)

Skills:
- Ability to prioritize and coordinate daily administrative tasks with focus on productivity.
- Ability to effectively manage office administrator’s daily tasks and triage conflicts between all members of the IWGR team.
- Experience working in a leadership role in a medical/clinical setting.
- Cheerful, and friendly disposition.
- Assist internal and external clients with impeccable customer service.
- Prepare correspondence, route and resolve information requests as well as concerns from clients or team members.
- Improve office performance by streamlining processes and procedures.
Qualifications:
- Associate’s or Bachelor’s degree preferred
- 2 years administrative medical/ clinical experience required
- Experience in sales and marketing
- Passion about integrative medicine/ counseling/ Naturopathic medicine/ health coaching/ wellness
Responsibilities
- As this position may change, the Employer is free to add or remove duties and if they remain for a long period of time, will add these to a future contract.
- Main Duties:
- Maintain and uphold company wide processes and procedures.
- Managing the office happenings which includes coordination with Employees and other office administrators, clinicians and support staff. This includes completing tasks assigned by managers and owner.
- Coordinating communication with consumers who inquire about services.This may also include managing the workers that communicate with consumers and ensuring quality.
- Training and overseeing all Office Administrators at Integrative Wellness GR—ensuring that they do their tasks.
- Delegating tasks to other workers as you see fit and keeping track of this delegation and task in task management software (Monday.com)
- Coordinating communication and work for any Contractors or Clinicians that you are working with or redirecting them to the Office Administrator or other appropriate employee.
- Paying all office bills from the appropriate account and keeping a log of it.
- Maintaining the office calendar (EMR calendar), delegating the organization of the office and kitchen, and delegating to Office Administrators as needed to maintain the cleanliness of the office.
- Maintaining an inventory of products that are all organized well.
- Keeping track of important networking opportunities and reporting to the Office Director.
- Keeping a good working relationship with the owners of the Building: Saddleback Associates, Visser Construction, etc.
- Ensuring that Integrative Wellness Grand Rapids communications is equipped for an OUT OF OFFICE event, via phone system and email
- Ensuring that Voicemail system is up to date w/ proper greetings reflecting the clinicians/ contractors, and services offered.
- Other business-related tasks as assigned
- HIPAA: Because this job utilizes an individual's personal healthcare information, the Practice Manager must make sure they are up to date on HIPAA procedures and confidentiality and must work to uphold HIPAA at all times while working or when off of work.
- GSuite and Healthcare Documents: IWGR pays for a confidential GSuite, Monday.com and VSee set up to make sure that there is extra security on any information kept in the cloud. The PRactice Manager must strive to move all information possible into CHARM and every month, dispose of (From Gsuite) any unnecessary documents with client demographic information in them. The only exception being the EOD reports.
