What We Need:
We are currently seeking an Administrative Service Coordinator to join our Fire Protection team. The Office Admin / Service Coordinator should be a self-motivated, customer service-oriented individual with strong communication skills and ability to thrive in a fast-paced work environment.
We are looking for someone positive and customer centric with exceptional verbal and written communication skills. The ability to effectively communicate with internal and external parties is required. Attitude and the ability to learn and be part of a team are most important!
What You'll Do:
The Administrative Service Coordinator, reporting to the Fire Protection General Manager, is primarily responsible for maintaining technician schedules, coordinating service calls for new and existing customers, and dispatching of technician services to customer locations.
- This position will also be responsible for customer billing within the division, ensuring invoices are pushed out with accurate, detailed information of services performed and completed.
- Works under general supervision following clearly defined procedures and policies.
- Support the performance of Fire Protection service, including planned and unplanned maintenance / service calls from customers.
- Support successful operations consistent with Integrity Fire policies, programs, procedures, systems and guidelines.
- Prioritize calls based on severity and availability of appropriate service tech.
- Create and manage jobs in ServiceTrade.
- Communicate schedule with customer and keep customer informed of actions taken.
- Inform General Manager of work progress, customer relations, field personnel relations, material administration and other matters affecting service operations.
- Audit service reports weekly in accordance with established procedures.
- Perform other duties as assigned.
What We're Looking For:
- Minimum of 1 year of experience in Scheduling, Coordination, Service Administration, or similar. Industry experience is great but not required.
- Comfortable answering phones and providing exceptional customer service experiences.
- Working knowledge of Microsoft Suite, especially Excel.
- Previous experience using GSuite/ Google Workspace for business a plus!
- Enthusiasm for innovation, improving processes, and building relationships with customers, vendors, and team members.
- Experience with dispatching, talking to customers and field technicians, strategically allocating labor resources, and efficient data entry would make you an excellent candidate!
