We are currently seeking a dynamic and experienced Client Service Specialist to join our team and play a pivotal role in maintaining the efficient operation of our office.

POSITION OVERVIEW:

This position is responsible for the efficient day-to-day operation of the office. Handle phone inquiries, manage appointments, process paperwork, and ensure compliance with industry regulations. Acting as a liaison with the broker-dealer, facilitate the submission of necessary documents and information. Additionally, provide crucial support to financial advisors and staff, assisting with administrative tasks and maintaining financial records. With a keen eye for detail and a commitment to exceptional customer service, create a professional and compliant office environment, ultimately contributing to the firm's success. Manage office supplies and equipment, handle financial record-keeping, and adapt to changing priorities while maintaining a welcoming and efficient office atmosphere.

RESPONSIBILITIES:

  • Supervise and coordinate office staff's activities.
  • Possess an in-depth understanding of each staff member's role and fill in when necessary.
  • Track and ensure the completeness of pending client paperwork, with weekly follow-ups on outstanding transactions.
  • Process all forms and checks promptly and submit them within one business day.
  • Provide administrative support to clients, including maintaining updated contact records, organized client files, and correspondence.
  • Generate reports for client review meetings, assign follow-up tasks, and schedule meetings.
  • Manage and resolve client service issues.
  • Proactively communicate task statuses, issues, and deadlines to advisors and staff.
  • Coordinate staff meetings, monitor action items, and relay relevant information.
  • Coordinate workflow of advisors and manage priorities.
  • Regularly review Commonwealth news items, technology updates, and e-mail communications; report pertinent information back to advisors.
  • Manage advisors' licensing requirements and oversee primary Branch Compliance.
  • Monitor and order office supplies/postage
  • Create and regularly (annually) update an office procedural manual
  • Other duties, as required

KNOWLEDGE/SKILLS/COMPETENCIES:

  • Highest degree of integrity and confidentiality.
  • Demonstrated success supervising and managing an office.
  • Self-starter with ability to work independently.
  • Demonstrated ability to prioritize a complex workload and meet deadlines.
  • High attention to detail and able to handle multiple tasks.
  • Ability to effectively interact with people across all levels of the business.
  • Enjoy interacting with people face-to-face and over the telephone.
  • Exceptional customer service skills and ability to work under time sensitive pressures
  • Sophisticated organizational skills/experience with both manual and a variety of electronic records including calendars, appointments, events, client contact records, images, etc.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Strong writing skills.
  • Knowledge of financial planning terms and concepts is a plus.
  • Prior experience in the financial advisory field is a plus.
  • Experience working with National Financial Services (NFS) processes and forms is a plus.

Job Type: Part-time

Pay: $22.00 - $30.00 per hour
