Administrative Assistant/Receptionist
Job description - Intelligent Office Assistant

Intelligent Office is growing and looking for a new team member. We help small businesses succeed in an ever-changing economy. This is a Full time position (40 per week).

A positive attitude, adaptability to changing client needs, computer skills and being a quick learner is a must. Interest/Experience in sales/client development preferred.

*Responsibilities Include

  • Operates multi-line phone system answer and support calls for multiple companies/clients.
  • Schedules appointments in calendars for multiple clients
  • Pleasantly greets persons entering the organization and directs them as needed
  • Collects, sorts and distributes mail for multiple clients
  • Manages incoming faxes and distributes based on procedures
  • Provides administrative support to employees and clients
  • Responsible for cleanliness of personal work area, kitchenette, mailroom, and conference rooms

Required Skills and Experience

  • High school diploma required
  • Very Punctual, dependable and reliable team player
  • Ability to multi-task with minimal supervision
  • Excellent verbal and written communication skills in English
  • Professional personal presentation and cheerful attitude
  • Positive customer service orientation
  • Intermediate computer skills
  • Maintains a mature, polished, pleasant and professional presence and disposition at all times
  • Knowledge of computers, relevant software applications and general office equipment
  • Knowledge of customer service principles and practices
  • Cheerful and excellent phone answering skills
  • Computer skills: Microsoft Office - Excel, Word, Power Point; Outlook; Internet Research

Desired

  • Prior Front desk/receptionist experience a plus
  • Multi-line phone system knowledge a plus
  • Customer service experience
  • Prior Administrative assistant experience a plus
  • A second language a plus (Spanish)

Pay: $16.50 - $18.50 per hour
