Job description - Intelligent Office Assistant
Intelligent Office is growing and looking for a new team member. We help small businesses succeed in an ever-changing economy. This is a Full time position (40 per week).
A positive attitude, adaptability to changing client needs, computer skills and being a quick learner is a must. Interest/Experience in sales/client development preferred.
*Responsibilities Include
- Operates multi-line phone system answer and support calls for multiple companies/clients.
- Schedules appointments in calendars for multiple clients
- Pleasantly greets persons entering the organization and directs them as needed
- Collects, sorts and distributes mail for multiple clients
- Manages incoming faxes and distributes based on procedures
- Provides administrative support to employees and clients
- Responsible for cleanliness of personal work area, kitchenette, mailroom, and conference rooms
Required Skills and Experience
- High school diploma required
- Very Punctual, dependable and reliable team player
- Ability to multi-task with minimal supervision
- Excellent verbal and written communication skills in English
- Professional personal presentation and cheerful attitude
- Positive customer service orientation
- Intermediate computer skills
- Maintains a mature, polished, pleasant and professional presence and disposition at all times
- Knowledge of computers, relevant software applications and general office equipment
- Knowledge of customer service principles and practices
- Cheerful and excellent phone answering skills
- Computer skills: Microsoft Office - Excel, Word, Power Point; Outlook; Internet Research
Desired
- Prior Front desk/receptionist experience a plus
- Multi-line phone system knowledge a plus
- Customer service experience
- Prior Administrative assistant experience a plus
- A second language a plus (Spanish)
