About This Position
We are looking for a dynamic and team player Project Assistant, who will be performing a wide range of administrative functions in project preparation, budget, finance, and corporate matters as well as support project coordination duties.
You will work in the Water and Sanitation Division (WSA) of the Infrastructure and Energy (INE) Department. This team is responsible for conceptualizing, preparing, supporting the execution, and supervising the IDB’s operations related to water and sanitation. Our Division works with the country departments to design and execute financial and non-financial programs and evaluates the development results of such interventions. It also performs quality improvement functions for social development projects and programs, including guiding, crafting and preparing Bank products’, execution, and analysis and mitigation of risks.

About This Position

It also performs quality improvement functions for social development projects and programs, including guiding, crafting and preparing Bank products’, execution, and analysis and mitigation of risks.
What you’ll do
- Support the Division in activities such as publishing/filing official documents, editing and reviewing documents/proposals when assigned to ensure effective delivery of the Division.
- Participate in identification, preparation, and analysis of financing requests for projects (loans and technical assistance) received by the WSA from external and internal clients.
- Administrative support in the loan and technical cooperation preparation process.
- Assist in monitoring projects implementation, including support to project teams in missions.
- Assist in monitoring projects and technical cooperation in execution (disbursements, alerts, eligibility, etc).
- Prepare mission announcements for approval in Convergence, updating the Division’s shared calendar for official mission and leave.
- Monitor the pipeline to ensure that they are timely prepared.
- Coordinate logistics for meetings, seminars, and events, such as preparation of letters of agreement (LOA) for guests participating in Division organized meetings and seminars or hotel arrangements as necessary.
- Process Division’s requests for hiring consultants, as well as procurement and bidding documents, to ensure compliance with policies and alignment of project activities with operating plans.
- Provide administrative support in the application of IDB’s operational policies and procedures to team members. Provide advice on how to improve internal processes.
- Support the preparation of documentation and other activities (communications with external consultants (firms and individuals), offers, vendors, suppliers, etc.), to ensure a timely response to their needs, following established protocols and procedures.
- Monitor INE/WSA’s tasks including programming agendas, meetings, travel authorizations, field visits, trainings events, workshops, etc.
- Perform background research as needed including availability of international firms, country profiles and travel risks.
- Other duties as might be necessary to support the effective delivery of administrative services within the Division.
- Education: Associate degree/Technical diploma in Business Administration or any related subject.
- Experience: Minimum two years of relevant work experience. Having worked at the IDB and having experience in operational, events planning, and administrative support is a plus.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.
- Citizenship: You are a citizen of one of our 48-member countries.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
- Type of contract: International Consultant Full-Time.
- Length of contract: 12 months. The contract will be for an initial duration of 12 months, with the possibility of extension for up to 36 months, contingent upon performance
