What are the responsibilities and job description for the Receptionist/Scheduler position at Intercultural Senior Center?
JOB SUMMARY:
The receptionist/scheduler will be the first point of contact for all seniors, guests, and volunteers. This position will require a positive attitude and the ability to create a welcoming environment. A high degree of emotional intelligence is required as well. The receptionist/scheduler will need to speak English proficiently. Bilingual candidates are encouraged to apply. This position requires a patient, compassionate, organized, efficient, and detail-oriented individual with at least intermediate computer skills.
SKILLS & ABILITIES:
- Fluent in English is a requirement, and proficiency in additional languages, especially Spanish, Karen, Karenni, or Nepali, is a plus.
- A deep commitment to dignified and respectful services to diverse group of older adults
- Excellent analytical, verbal and written communication skills
- Proven ability to use good judgment and maintain confidentiality
- At a minimum, intermediate in MS Office (Outlook, Word, Excel, PowerPoint)
- Comfort working with a diverse group of staff, client’s community members, and internal/external stakeholders.
KEY RESPONSIBILITIES:
- Greet all seniors, guests/visitors, patients and volunteers. Create a welcoming environment with positivity and efficiency.
- Answer the multiline phone with punctuality and excellent customer service skills.
- Field and direct calls to the appropriate department.
- Relay accurate and detailed messages to staff that are unavailable for calls.
- Maintain a tidy and organized reception area/lobby.
- Frequent correspondence with dental, dietary, and foot services.
- Plan, organize, and manage schedules for dental, dietary, and foot care providers.
- Confirm all scheduled appointments. Excellent communication is required for relaying cancellations.
- Follow up on any patient’s absence to an appointment.
REQUIREMENTS:
- High School diploma required. College preferred.
- 2 years of administrative/scheduling duties in any field.
- Strong computer skills, a high comfort level with office equipment.
- Previous senior care or senior services beneficial.
- Ability to sit for longer periods of time, stand, kneel crouch, or lift up to 40 lbs.
- A Nebraska State Patrol background check will be required.
