Responsibilities
- Managing high volume of acquisitions and renewal processes for company business licenses/permits/registrations, including tracking and maintaining associated deadlines, organizing large volumes of correspondence (mail/email communication), setting up online accounts/payment portals with government agencies.
- Stay updated on licensing laws, regulations, and compliance requirements relevant to the organization's industry. Ensure adherence to legal and regulatory frameworks governing licensing activities.
- Negotiate and manage licensing agreements with external partners, including vendors, manufacturers, distributors, and other entities. Ensure compliance with contractual obligations and manage any licensing disputes or issues that may arise.
- Work closely with legal counsel to protect the organization's intellectual property rights and ensure compliance with licensing agreements. Identify and address any potential infringement issues or violations.
- Collaborate with senior management to develop a comprehensive licensing strategy aligned with the organization's goals and objectives. Identify potential licensing opportunities and evaluate their feasibility and potential impact on the organization.
- Prepare regular reports and presentations for senior management, highlighting licensing performance, revenue projections, market trends, and other relevant metrics. Utilize data and analytics to make informed decisions and drive continuous improvement in licensing strategies.
- Providing directions to employees needing to apply for or renew licenses pertaining to their job and location.
- Coordinating employee license-related requirements, including exams, initial & in-service training courses, CEUs, fingerprinting, license applications.
- Communicating and coordinating with outside training providers for online and in-classroom training courses.
- Setting up online accounts for employee licensing and training purposes, including login credentials.
- Coordinating training agreements between employees, supervisors and HR for certification-required licenses.
- Coordinating and submitting group license renewals for branch offices.
- Overseeing branch admin who assist with employee licensing management.
- Creating effective LMS (Learning Management System) assignments/lessons for employee licensing, including modifications and updates as needed
- Managing company-related accounts online w/various state offices for updating applying & renewing employees’ and company licenses through the portals.
- Identify ways to maximize revenue through licensing activities, such as optimizing licensing fee structures, exploring new markets and distribution channels, and implementing effective royalty collection and monitoring processes.
- Providing effective communication between individual employees, branch offices, and various departmental staff along with assisting licensed employees with individual online accounts where required by state departments.
- Working with both secure operation centers for alarm company license requirements, including frequent communication with local police departments.
- Assisting with various departmental COI (Certificate of Insurance) requests as needed, including communicating with company insurance agency.
- Utilizing postage meter for meeting license-related postmark deadlines.
- Conduct market research to identify trends, assess competitive landscapes, and identify potential licensing partners. Stay updated on industry developments, emerging technologies, and market dynamics that may impact licensing opportunities.
- Establishing contacts and relationships with various regulatory authorities through effective written and verbal communications, including problem solving with departmental staff who occasionally provide incorrect information, having to perform additional research for license-related requirements.
- Working with the company’s outsourced tax-compliance teams (mainly sales tax).
- Working with unincorporated territories, including moderate communication barriers and opposite time zone issues (Guam).
- Monitoring new hire and terminated employee-related ExponentHR notifications in order to maintain license-related compliance with various state requirements.
- Frequently working with AP and Corp card departments for all licensing-related expenditures.
- Ability to work independently and escalate when appropriate

- Having moderate knowledge with application software including MS Excel and MS Word, and also MS Teams MS Outlook.
- High School Diploma required; Bachelor’s degree preferred
- 2 years in licensing or compliance role
