We are seeking a highly organized and proactive Executive Coordinator to support our senior leadership team. This role involves managing daily operations, ensuring seamless communication, and providing administrative support to executives. Key Responsibilities:
- Executive Support: Provide administrative assistance to senior leadership, including calendar management, travel arrangements, and preparation of meetings and presentations.
- Communication: Act as the primary point of contact for internal and external communications on behalf of the executive team. Handle confidential and sensitive information with discretion.
- Event Coordination: Plan and execute events, boat shows, and meetings, including coordinating logistics, managing schedules, and ensuring everything runs smoothly.
- Project Management: Assist in tracking key projects, deadlines, and deliverables, ensuring timely follow-up and effective communication across teams.
- Documentation & Reporting: Draft, review, and proofread correspondence, presentations, and reports. Maintain and organize key records and files.
- Team Collaboration: Work closely with other departments and teams to facilitate smooth cross-functional operations.
- Problem Solving: Proactively identify challenges and come up with solutions to keep the executive team on track.
Qualifications:
- Bachelor’s degree or equivalent work experience.
- 3 years of experience in an administrative or coordinator role, preferably supporting senior executives.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and professionalism in all aspects of the role.
- Strong attention to detail and ability to work under tight deadlines.
- Positive, team-oriented attitude with a problem-solving mindset.
Preferred Skills:
- Experience in the marine industry.
- Knowledge of event planning and logistics.
- Multilingual.
