We are seeking an experienced Executive Assistant to join our Compliance and Safety/Risk team. The successful candidate will provide administrative support to the Chief Level Officer (CLCO) and Director of Compliance, ensuring seamless day-to-day operations.
Key Responsibilities:
- Manage Calendars: Schedule meetings, plan logistics, and maintain calendars for the CLCO and Director of Compliance.
- Issue Research and Resolution: Investigate and address incoming issues and concerns, determining the appropriate course of action or referral.
- Prioritization and Time Management: Prioritize conflicting needs, handle matters expeditiously, and follow through on commitments in a timely manner.
- Communication and Organization: Proactively inform the CLCO and Director of Compliance about upcoming commitments and responsibilities, maintaining awareness of company activities to facilitate priority setting.
- Administrative Support: Perform various administrative duties, including document preparation, spreadsheets, correspondence, presentations, and reports.
- Filing System Maintenance: Maintain an organized filing system for corporate records, documents, and information.
- Meeting Preparation and Minutes: Draft minutes for committees and finalize documents, distributing information and facilitating meeting preparation with attention to detail and professionalism.
