What are the responsibilities and job description for the Executive Assistant position at InterMed?
ESSENTIAL FUNCTIONS
- Manages busy calendars for the CLCO and Director of Compliance, to include maintaining calendars, scheduling meetings, planning meeting logistics, and ordering food when necessary.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CLCO and Director of Compliance, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Prioritizes conflicting needs, handles matters expeditiously, and follows through on commitments in a timely manner.
- Proactively keeps CLCO and Director of Compliance well informed of upcoming commitments and responsibilities. Maintains an awareness of what is going on within the company to facilitate priority setting by the CLCO.
- Performs administrative duties for the Compliance/Safety/Risk team, including preparation of documents, spreadsheets, correspondence, presentations and reports.
- Maintains filing system to allow for organized retention of and reference to important corporate records, documents and information.
- Responsible for drafting minutes for the Compliance Oversight Committee and three subcommittees, finalizing documents, distributing information and facilitating meeting preparation, in a manner that evidences attention to detail and professionalism.
- Performs various other duties/projects as assigned
JOB REQUIREMENTS
- Post-secondary education in business-related or legal field: Associates Degree required, Bachelor’s Degree preferred
- Five or more years of C-Level Executive Assistant experience
- Very strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with coworkers and key stakeholders
- Proven ability to handle confidential information with discretion, be adaptable to competing demands, and demonstrate the highest level of customer service and response
- Outstanding verbal and written communication skills
- Ability to prioritize, organize, and plan work independently
- Ability to make decisions using sound judgment
- Ability to firmly direct the attention of executives to highest priority tasks
- Strong computer skills; Microsoft Word, Excel, Access and PowerPoint
